What are the responsibilities and job description for the Child Care Administrative Assistant position at ASCENSION DEPAUL SERVICES?
Job Summary:
The Administrative Assistant performs a variety of duties related to the administrative functions of the Ascension DePaul Services’ (ADSSA) DePaul Wesley Children’s Center. Assists the Center Site Manager and/or Director in maintaining the administrative and operational needs of the center, meeting all Head Start & Early Head Start standards and Minimum Standards as required by the Texas Department of Family Protective Services and other regulatory agencies. Providing support to DePaul Wesley Children’s Center staff and clients in a courteous, professional manner in order to improve employee relations and client satisfaction of provided ADSSA services.
Responsibilities:
- Understands and Manifest the Philosophy and Mission of Ascension DePaul Services of San Antonio.
- Offers support to the Director, Site Manager, and DePaul Wesley Children’s Center staff.
- Welcomes guests and screens telephone calls and/or directing to proper department.
- Serves as first line of contact for parents and general public.
- Supports the preparation of materials for meetings and family events.
- Assists with taking, maintaining and distributing meeting agendas and meeting minutes.
- Supports with maintaining the children files to include data entry into ChildPlus.
- Assists with duties related to enrollment, recruitment and family services as needed.
- Organizes and maintains file system, and all records as needed for children’s enrollment, eligibility, attendance and meal counts of the food program (CACFP) and classroom weekly documentation.
- Maintains children’s immunization records and reminds parents/guardians when updates are needed.
- Assists Director with recruitment of prospective children and families.
- Prepares confidential correspondence, reports and other complex documents and management of incoming and outgoing mail correspondence; including email and faxes.
- Supports with inventory of supplies.
- Makes copies of correspondence or other printed materials as needed.
- Performs other duties as assigned.

- Within scope of job, requires critical thinking skills, decisive judgment and the ability to work with minimal supervision. Must be able to work in a stressful environment.
Personal Protective Equipment:
- Follows Standard Precautions using personal protective equipment as required.
Minimum Qualifications
Education:
- High School Diploma or equivalent, required.
- Minimum 1 year of administrative work, preferred
- Minimum 1 year of childcare experience, preferred
- Ability to type 40 words per minute
- Excellent written and oral communications
- Bilingual (English/Spanish), preferred
Licensure/Certification/ Registration:
- Valid Class C Texas Driver License
- First Aid and CPR certification
