Description
As the HR Administrator at Ascent Aviation Services, you will play a pivotal role in ensuring the efficient operation of our Human Resources department. Reporting directly to the HR Director, you will be the first point of contact for employees and contractors, providing support in various HR functions. DUTIES/RESPONSIBILITIES:
· Greet and direct visitors, primarily internal employees and contractors.
· Create, manage, and maintain both digital and hard copy personnel files for all employees. This includes entering contractor information into the system, processing terminations, and ensuring all records are accurate and up-to-date.
· Conduct employment verifications.
· Coordinate and conduct New Hire Orientation.
· Complete a variety of tasks related to onboarding new employees for as we continue to rapidly expand our growing team. Examples of tasks are but not limited to:
o Verify the accuracy and completion of new hire paperwork
o Perform I-9 verifications
o Assemble and distribute New Hire Folders
o Create and issue ID badges for employees and contractors
o Verify certifications (e.g., A&P licensing) by obtaining copies, validating them, and uploading copies.
o Obtain and verify direct deposit details from new hires.
o Email completed onboarding surveys and resumes to appropriate stakeholders.
· Manage uniform inventory and coordinate distribution to employees.
· Maintain and upload records to HRIS and SharePoint, including DOT compliance documents, onboarding forms, etc.
· Manage and process expense reports.
· Maintain records and data from exit interviews.
· Process all paperwork related to employee terminations.
· Order office supplies and coordinate service calls for office equipment.
· Pick up, sort, and distribute incoming mail and inter-office correspondence.
· Design and create posters, graphs, and charts as needed for HR and Talent Acquisition.
Additional Responsibilities:
· Maintain Human Resources bulletin boards and post policy changes.
· Undertake special projects as assigned by the HR Director.
· Provide backup support for the DOT program.
Qualifications
REQUIRED SKILLS/ABILITIES:
· Strong organizational and planning skills with the ability to adhere to deadlines.
· Meticulous attention to detail and the ability to maintain confidentiality.
· Exceptional communication skills, both verbal and written.
· Ability to multi-task and adapt to rapidly changing circumstances.
· Proven experience in handling and de-escalating difficult situations with professionalism and tact.
· Ability to foster positive working relationships with co-workers and project a professional image to the public.
· Capable of working independently with minimal supervision.
EDUCATION AND EXPERIENCE:
Minimum Qualifications:
· High School diploma or equivalent.
· Minimum of two years of experience in an administrative position.
· Basic working knowledge of Microsoft Excel.
· Basic understanding of professional email etiquette, including proper spelling and grammar, is required to ensure clear and effective communication.
Preferred Qualifications:
· Five years or more of HR administrative experience.
· Bilingual in Spanish highly preferred.
· Comfortable public speaking in front of groups of up to 40 people at a time.
· Familiarity with HRIS systems (e.g., Paycom, ADP, Workday).
· Experience using Canva.
PHYSICAL REQUIREMENTS:
· Ability to sit or stand for extended periods.
· Occasional squatting, lifting, carrying, pushing, or pulling up to 20 pounds.
EQUIPMENT OPERATED:
· Telephone, personal computer, multiple printers, typewriter, copy machine, digital camera, and shredder.

WORKING CONDITIONS:
· Work primarily in the Human Resources building with frequent travel to various locations on base.
