About the Role:
We are looking for a highly organized and proactive Part-Time Administrative Assistant to provide high-level support in a fast-paced and hybrid work environment. Key Responsibilities:
- Schedule and coordinate meetings, ensuring alignment across teams and time zones.
- Assist with expense tracking and report submission.
- Take detailed notes, summarize key takeaways, and follow up on action items.
- Book flights, hotels, and ground transportation while optimizing schedules and budgets.
- Research and coordinate logistics for team events, offsites, and executive engagements.
- Identify and liaise with vendors for services such as event venues, catering, and office needs.
- Keep track of deadlines and deliverables, managing project management software (ClickUp) and help prioritizing deliverables.
- Create standard operating procedures (SOPs) for repeatable tasks and help to identify inefficiencies and suggest tools and solutions.
What We're Looking For:
- Prior experience as an Executive Assistant, Administrative Assistant, or similar role.
- Ability to manage multiple priorities and deadlines with a high level of attention to detail.
- Comfortable using Microsoft suite of tools, calendar tools, expense tracking software, and project management tools.
- Anticipates needs and takes initiative to improve processes.
- Professional written and verbal communication skills.
- Ability to handle sensitive information with professionalism.
Hours & Flexibility:
- Up to 25 hours per week, with some flexibility in scheduling.
- In the office in San Diego on Tuesdays and Thursdays.
- Pay range is $25-$30 per hour.
