What are the responsibilities and job description for the Administrative Assistant position at Discovery Behavioral Health?
Perform clerical support in an efficient manner in accordance with established procedures and as directed by your supervisor.
Responsibilities
- Accounts Payable functions to include receiving invoices reviewing for accuracy seeking approval and routing for payment.
- Gather incoming payments and prepare bank deposit and forward detailed payment information to the DBH Business Office staff.
- Weekly bank deposits.
- Receive and follow reception schedule / instructions from your supervisor and as outlined in our established policies and procedures.
- Operate telephone system as required.
- Answer telephones determine nature of call and direct caller to appropriate individual or department.
- Receive inquiries and release information in accordance with established policies and procedures.
- Maintain a current file / listing of patients by name and room number emergency phone numbers of oncall personnel department extensions key personnel etc.
- Greet visitors and direct to the appropriate place.
- Give directions / information to visitors guests patients sales representatives etc.
- Offer beverages to visitors waiting for administrative personnel as appropriate.
- Ensure all visitors / guests sign in on the confidentiality (HIPAA) log.
- Issue and collect guest badges as guests / visitors sign in.
- Ensure guests / visitors abide by existing rules and refuse admission to persons as directed.
- Report suspicious persons / information to a supervisor immediately.
- Assist all staff and departments with administrative duties as directed. (This includes typing filing etc.)
- Receive sort and distribute mail as directed.
- Operate copier office machines etc. as directed.
- Operate computer as directed or needed.
- Order supplies as directed or needed.
- Assist admission by preparing the Patient Manual meal card and airport pickup sign (if needed).
- Other duties as assigned.
This is a fulltime position that will work Monday Friday.
