We are seeking a highly attentive to detail and proactive Executive Assistant to support our Executive Team in maintaining operational efficiency and managing key relationships with internal and external stakeholders. The ideal candidate will excel at scheduling meetings, managing communications, drafting documents, and preparing materials for high-level meetings. This role requires exceptional organizational skills, the ability to prioritize competing demands, ability to follow-up effectively, and a commitment to professionalism and excellence in every interaction.
Responsibilities
- Provide comprehensive administrative support to ASE’s Executive Team including calendar management and travel planning.
- Serve as a primary liaison between the executive team, strategic partners, and internal teams.
- Manage high-touch client correspondence and relationship-building initiatives.
- Schedule and coordinate complex calendars, including internal meetings (Executive Team Meetings, QBRs, Town Halls, holiday events) and external events (client dinners, SME events).
- Prepare meeting materials, track follow-ups, and coordinate logistics.
- Support the management of Centers of Influence (COIs) and strategic partners.
- Maintain CRM records of client interactions and follow-ups.
- Oversee office supply management and vendor relationships.
- Track operational deadlines and deliverables.
- Manage implementation of strategic initiatives and track project milestones.
- Assist with the preparation of progress reports and coordinate cross-functional team meetings.
- Collaborate with the Marketing and PR department to support all event planning and execution.
