WHAT YOU BRING
- Bachelor’s degree or a combination of education and relevant work experience.
- Minimum of 4 years of experience in fundraising, resource mobilization, donor relations, or a similar role, preferably in a higher education or nonprofit environment.
- Strong project management skills, with the ability to prioritize, manage multiple concurrent projects, and meet deadlines. Project management certification highly desired.
- Experience in data analysis and reporting tools, CRM management; experience with Salesforce a plus.
- Experience in raising funds through face-to-face or direct solicitation, direct mail, annual giving/campaigns, ERG’s, peer-to peer fundraising initiatives and social media with proven results.
Qualifications
ABOUT THE ROLE
Under the direction of the Vice President (VP), Development, the Development Specialist plays a significant role in the administration, systems, processes, project and file management to drive the donor work across the development team. The Specialist works closely with the Donor Database & Grant Administrator to manage, run, review, analyze, and distribute regular reports to the team to support strategic decision-making for the department and members of the team, and monitor team and individual fundraising progress and activity ensuring the accuracy of the information and processes. This position also leads and manages relationships with special pools of donors that include annual and recurring monthly donors, corporate giving programs, and Employee Resource Groups (ERGs). This role will be key in prospecting and researching new opportunities and connections with donors across the team.
He/She/They are responsible for managing regular campaigns, tracking progress, analyzing trends, developing, and analyzing new strategies to increase giving, renewal, and retention rates, and expanding the pool of donors. The Specialist assists with special projects, events, and other responsibilities as directed by the VP, Development.
Your day-to-day responsibilities
35% Donors and Fundraising
- Leads and manages relationships with annual, recurring, and lapsed donors in special pools of giving levels with a goal of renewing or upgrading gifts from annual and recurring donors, conducting discovery with first-time donors, increasing retention rate for renewal gifts, and identifying donors with potential and interest to become a mid-level or major individual donor.
- Serves as initial point of contact for general donor inquiries and communications via email, phone, text, social media and related fundraising effort or development communication. Responds to or refers to the appropriate team member within 24 to 48 hours; providing follow-up to maintain contact as necessary.
- Manages corporate giving programs, ERGs, and other related giving programs/entities, ensuring program and campaign progress is tracked against objectives and deadlines.
- Manages spring and fall annual campaigns, and other campaigns ensuring planning activities are scheduled and launched in alignment of overall fundraising strategy.
- Researches, prospects and tracks for new opportunities and looks for connections with current donors across the team that can facilitate an introduction or influence decision-making and giving.
- Manages all donor screening tools and platforms including wealth screening, prospecting, and biographical data.
- Conducts prospect management wealth screening to assist with identification and qualification.
- Supports VP, Development and all development officers working with CEO and AJSOCAL leadership on donor engagement, cultivation and follow up.
20% Database
- Develops and manages data entry processes in collaboration with Donor Database & Grant Administrator establishing best practices in data entry to maintain data integrity.
- Manages and analyzes regular and appropriate fundraising reports to VP, Development and distributes to team members in collaboration with Donor Database Administrator. Reports should enable decision-making for fundraising strategies and campaigns, and provide information on department, team and individual fundraising progress and activity.
- Tracks weekly, monthly, quarterly, bi-annual, and annual fundraising revenue to-date by gift type, individual donor giving levels, unrestricted and restricted gifts, and other viable categories or segments; analyzes reports and provides insights on trends and gifting projections.
- Manages mailings list reports to vet accuracy, integrate and manage email addresses, phone numbers on a monthly basis.
- Co-manages timely gift acknowledgement letter tracking with Donor Database & Grant Administrator.
- Collaborates on portfolio and pipeline management with Database and Grants Management Specialist for VP, Development, CEO, and Development team members with direct fundraising responsibility.
- Manages Donor list for annual report and other giving programs.
30% Administration, Event and Special Project Management
- Leads/drives the administrative support to VP, Development by managing department-wide/team meetings (including the Master Calendar of meeting and events for unit), manages meeting agendas and notes, tracks and manages appeals/campaigns and ensures teams and projects are meeting deadlines.
- Manages digital and hard files for development team, including audit and collection of file management and documentation, cleanup, and training of new staff regarding document storage system; suggests and implements improvements for consistency and reliability of files.
- Manages design, inventory, tracking, and distribution of donor gifts/giveaways, annual calendar, year-end gift, holiday/New Year cards, branded stationery, including notecards, remits, and any special campaign correspondence.
- Collaborates with Finance team to properly code gifts and ensures accurate tracking of gifts and grants; runs monthly reports for auditing purposes.
- Manages all gift payment methods, platforms, and services such payment by credit card, Classy, Benevity, social media, stock gifts, check, etc. and ensures systems work smoothly.
- Participates in all development events as assigned by VP, Development and working with Development Manager, Events as appropriate for events such as, but not limited to, annual gala, coordinating volunteers/staff, tabling at events, community service events, etc.
- Manages special projects and events as assigned and other projects as assigned by VP, Development.
15% Communications
- Manages all external donor-facing mass communication efforts via Mail Chimp, Classy, email, social media, etc. along with the Development Communcations Specialist.
- Writes and regularly refreshes gift acknowledgement letters tailored to type of gift and/or donor level, e.g., annual, mid-level or major donor, gala, end-of-year or other gift. Prints for signature by appropriate team member, records in Salesforce and mails within a specific timeline.
- Liaises with program staff to serve as team contact to gather and compile information and stories to be used for donor communication efforts or materials.
- Manages and coordinates support for donor communications assets such as gala deck, website content, newsletter, program/fact sheets and other materials as assigned.
- Represents the organization in an enthusiastic and professional manner in the community and internally, with a demonstrated commitment to AJSOCAL’s mission.
- Keeps team members and appropriate staff colleagues up-to-date on fundraising efforts.
- Performs other miscellaneous tasks and duties, as assigned.

Salary : $62,300 - $103,400
