WHAT YOU BRING
- Bachelor’s degree or equivalent preferred
- Minimum of three (3) years of database and/or grants management experience in a $5M nonprofit organization
- Minimum of two (2) years of experience with CRM software, such as Salesforce
- Advanced Microsoft Office Suite (Word, Excel, SharePoint, Teams) knowledge
- Demonstrated ability to work with a high level of accuracy and manage confidential and sensitive information.
- Interest in non-profit donor cultivation/stewardship and focused on providing excellent customer service to donors, external partners, and AJSOCAL Development and program staff.
- Strong attention to detail and analytical skills

Qualifications
ABOUT THE ROLE
The Donor Database & Grant Administrator will serve as the lead administrator for the donor database and grant tracking for the Development Department. The Administrator will be responsible for all database maintenance, analysis, reporting, cleaning, responding to requests for information and prospect research, as well as the general functioning of the department’s data management. She/He/They/them will spend 60% of their time managing Individual Giving donor data (Donor Database) and 40% time on Institutional Giving donor data (Grants) with a focus on managing all aspects of grant reporting and supporting grant tracking pre and post award.
In this role, the Administrator will report directly to Vice President (VP), Development, work closely with members of the Individual and Institutional Giving teams, other staff, including Program, Finance, IT, consultants and provide assigned general support to the Development Department during peak periods.
Your day-to-day typically includes:
60% Individual Donor Database Administration
- Serves as main point of contact and lead administrator for the Development database (Salesforce CRM)
- Tracks Individual and Institutional giving performance and explores new strategies to maximize fundraising revenue.
- Oversees all functions of Salesforce database management, including data and gift entry, volunteer management, clean up and reporting.
- Oversees all Major, Individual, and Planned Giving efforts by developing, maintaining, and updating information on new and existing donor prospects as well as producing donor and prospect profiles.
- Routinely examines and cleans current data records to ensure data accuracy to eliminate duplicate records as well as inconsistent data to maintain overall database integrity and the accuracy of data imported and committed in the database.
- Processes and/or tracks contributions received through all giving mechanisms and disseminates information to Development and Finance staff.
- Creates and manages department dashboard for analysis, tracking metrics, fundraising and financial reporting.
- Creates, manages, and analyzes reports for Individual Giving Team to track progress, support campaigns and mailings, monitor fundraising staff activity to inform fundraising strategy. In addition, identifies opportunities to enhance efficiency and/or effectiveness.
- Develops MS Excel spreadsheet tools and reports to manipulate and present data to complement Salesforce tools, when they are insufficient.
- Develops and maintains standard reports and queries for Individual and Institutional Giving Teams and disseminates, as appropriate.
- Interacts with all necessary departments/divisions or teams, particularly Finance, to analyze and gather report requirements for generating criteria and output.
- Documents, refines, and/or creates database policies and procedures and works with the Development, Finance and Program teams to ensure the quality and integrity of the database.
- Trains development and other appropriate staff in use of Salesforce and best practices and standards for data entry.
- Assesses the organization’s current database utilization by developing more effective policies and procedures; identifies areas of process and efficiency improvement, recommends and implements solutions, and ensures funder/donor tracking workflows are functioning correctly.
- Creates standard operating procedures.
- Coordinates and works with the Development, Finance and Programs teams to reconcile financial and impact data and centralizes and maintains records of all funder/donor interactions e.g. documentation of calls and meetings.
- Performs all prospect research and documentation.
- Performs other duties, as needed.
40% Grants Administration & Reporting
- Serves as the primary lead for tracking grant proposal cycles, application and report deadlines, reporting, managing the digital filing system, entering and maintaining accurate information in the database, creating and generating reports for use by development and leadership.
- Manages all aspects of reporting from entering data into tracking systems that include Salesforce, SharePoint, and other grant reporting worksheets.
- Manages the grant calendar to reflect all grant activity, including grant proposal and report deadlines, and tracks current grant cycles and renewal processes to guarantee continued funding.
- Submits grant reporting, as assigned, and manages tracking and filing system to support submitted reports.
- Creates standard operating procedures.
- Assembles and maintains key grant documents and files.
- Coordinates in advance with relevant staff to solicit timely and appropriate input/review of grant requirements prior to submission deadlines; timely submits grant reports.
- Coordinates, documents, and schedules logistics, materials, set-up, and follow-up for internal and external meetings.
- Enters grant information into Salesforce in a timely and accurate fashion.
- Assists with grants, development, finance reporting, and other tasks as needed.
- Performs and compiles potential grant opportunities for funding from government, foundation, corporate, family foundations and other sources.
- Works with the Institutional Giving team members to manage institutional donor cultivation, solicitation, and stewardship strategy for grants.
- Performs other duties, as assigned.

Salary : $68,640 - $103,800
