ASP Web Solutions, LLC is looking for an administrative assistant to join our team in Marietta, GA. This person will work to support the daily operations of the office and assist with reducing a multi-year backlog of incentives actions and provide a foundation for improved processes.
The ideal candidate is a high-energy individual with excellent organizational skills, a strong attention to detail and the ability to communicate effectively in both written and verbal communications.
The candidate will support the Georgia Air National Guard (GAARNG) with enlisted transitions, retirements, retention, attrition management, education counseling, and related administrative functions. These functions include incentives processing. In addition to entitlements to which every service member gains access upon signing a contract with the Army, individuals are offered other incentives to encourage their initial and continued service. Management of these incentives materially affect the personnel retention efforts of the organization. The two most common of these incentives are signing bonuses and loan repayment programs.
Responsibilities:
- Field inbound communications - Answer phone calls/general email inquiries and route to the appropriate internal parties as needed.
- Coordinate scheduling - Set up meetings based on cross-functional availability for both internal and external stakeholders.
- Organize internal resources - Build out and maintain processes to keep files and office supplies organized and easily accessible.
- Liaise with visitors - Act as point person for office guests.
- Communicate policies and procedures - Alert employees of new processes, rules and regulations such as Education and Incentives Counseling, Incentives Establishment, Incentives Termination, Bonus Payments, Loan Repayment, Archived Records Interstate Transfer Coordination, Retention Coordination Specialist, ID Card support, Transition Records Support Specialist and MEDOPS Program Management.
Requirements:
- US Citizen with DoD Clearance
- High school diploma
- At least 2 years experience in general office work
- Be able to type 40 words per minute on a computer in a word processing program
- Strong organizational, communication, and time-management skills
- Have ability to use reference guides/materials
- Be courteous when dealing with customers
- Be able to work closely with others
- Proven ability to work in a fast-paced environment
- Positive, high-energy attitude
- Be able to work independently to complete problems and resolve issues
- Have a state driver's license
- Resourcefulness, creativity, and problem-solving skill set
- Familiarity with office equipment (i.e. printers, fax machines, projectors)
- Proficiency in Microsoft Office (Word, Excel and PowerPoint, Outlook, etc.)
- Be able to perform such duties as lifting items up to 50 pounds, carrying, stooping and bending
