FULL CHARGE BOOKKEEPER POSITION DESCRIPTION
Responsibilities include managing all aspects of general ledger, accounts receivable, and accounts payable, as well as handling payroll information, credit card statements, and cash flow. This is a vital role in a small business in recording and maintaining its financial records accurately. The bookkeeper must be responsible and self-reliant.
Duties include, but are not necessarily limited to:
Handle all the accounting needs of the company, including the preparation of financial statements.
o works with outside CPA firm to prepare financial statements and tax returns at the end of the year.
o balance sheet and income statement are financial statements typically prepared monthly as well as cash flow and job-cost reports, and sales reports.
o prepare and file quarterly and annual federal and state unemployment tax returns, reports for workers' compensation, various payroll tax reports, and business and operating tax returns and process any payment that needs to accompany a tax return.
o Journal entries are prepared and entered for accounts such as fixed assets and depreciation.
Process employee timesheets run payroll checks and prepare monthly and quarterly tax returns.
Enter vendor and expense invoices, run checks, bill customers and clients, and prepare bank deposits, ensuring that the correct accounts are debited or credited accordingly.
o prepare and send invoices to customers and ensure they are entered into the proper accounts in the accounting system.
o Review customer accounts weekly and contact customers with past-due invoices to make payment arrangements.
o Prepare bank deposits of payments received from customers and other sources, then enter the payments into the accounts receivable system.
o monitor purchase orders and match them with invoices as received, code the invoices with the proper information, and obtain approval for payment.
o Pay the invoices, and ensure bills are paid in a timely manner. This may also include credit card and automatic payments to vendors.
o Maintain petty cash account, reconciling monthly.
o Handle all banking needs, including reconciling monthly bank statements and monitoring cash flow.
Perform the associated clerical duties, such as maintaining paper and electronic files, and opening and sorting mail pertaining to the accounting department. Records are typically archived for the previous year when the year-end books are reconciled and closed.
The bookkeeper must have the ability to present information to owners and coworkers; in those presentations, they must be able to define problems distinctly, collect data accurately, establish reliable facts, and draw valid conclusions.
EDUCATIONAL & EXPERIENCE REQUIREMENTS
Experience with payroll, financial statements, bank reconciliation, and general bookkeeping.
Minimum education requirement for a full charge bookkeeper is a high school diploma, however an associates or bachelor's degree in finance, accounting, or business is usually preferred.
Advanced knowledge of computer software, particularly QuickBooks and Microsoft Office, is essential.
