PROJECT ASSISTANT

As an Administrative Assistant on our team in The Villages, FL, you will perform a wide variety of administrative and staff project support services on our project site.
You will
• Provide front-desk coverage to 2 different office locations. Must be able to travel between the two.
• Manage incoming calls, greet guests as they enter the office, organize and distribute incoming/outgoing mail and shipments, and maintain an organized, clean office environment.
• Assist with scheduling team meetings in the office, off-site, and via Microsoft Teams.
• Reconcile billing accounts, track inventory, order supplies and maintain a record of all purchases.
• Liaise with executive and senior administrative assistants to handle requests and queries from managers.
• Assist new hires with their initial onboarding, including Day One training.
• Assist with internal event planning activities.
Your strong organization skills and ability to communicate with staff at all levels – both orally and in writing will help us meet our client's objectives.
Quals--
Here is what you'll need:
• High School diploma or equivalent
• Valid Fl Driver's License
• 1 year or more of administrative experience.
• Proficient with Microsoft 365: Word, Excel, Outlook, PowerPoint & Teams.
• Proficient in record keeping and billing.
• Demonstrate key competencies in the areas of communication, planning and organizing, flexibility and adaptability, customer service, problem assessment and problem solving, attention to detail, and teamwork.
• Excellent interpersonal skills, project coordination experience, and the ability to work well with all levels of internal management and staff, as well as outside clients and vendors.
• Flexibility to work from 2 different offices.
• Bilingual. Fluent in English and Spanish.
Ideally, you'll also have:
• College education or degree
• Experience working with high-level clients, executives and vendors.
