Job Description:
We are looking for a highly organized and detail-oriented Construction Project Coordinator to manage various aspects of our construction projects. The ideal candidate will be responsible for coordinating job tasks, managing communication between teams, and ensuring that every phase of the project runs smoothly from start to finish. This role will require strong multitasking skills, the ability to maintain accurate records, and close collaboration with sales, crews, and other departments.
Key Responsibilities:
- Scheduling: Organize and schedule inspections, job phases, and final completion dates. Coordinate equipment and material deliveries.
- Customer Contact: Maintain communication with customers as needed, providing updates on project timelines and addressing concerns.
- Job Setup: Set up "JULIES" (job outlines) and assist with the setup of inspections and final reviews.
- Document Verification: Ensure that all paperwork and job maps are accurate before job commencement. Review the information with the salesperson for accuracy.
- Phase Management: Track project phases, ensuring all tasks are completed before closing out each phase.
- Closeout Procedures: Confirm job and inspection completions, ensuring proper documentation for closeout.
- Warranty Work: Assist in entering and completing warranty work, ensuring all follow-up actions are completed on time.
- Crew Coordination: Communicate with crews to clarify details and scope of work, addressing any concerns or changes to job scope.
- Job Completion: Verify that all jobs are fully completed, and marked as "complete" in the appropriate systems.
- Timesheets & Payroll: Maintain and manage sheets for payroll purposes, ensuring accuracy.
- WIP Management: Make necessary updates to work-in-progress (WIP) jobs and change statuses as required.
- Material Management: Order materials for crews and the shop, ensuring inventory is managed efficiently. Price check materials as needed.
- Equipment & Repair Coordination: Schedule and coordinate repairs for equipment within the shop, ensuring minimal downtime for field operations.
- Site Logistics: Organize the delivery and setup of barricades for job sites, ensuring compliance with safety regulations.
- Trucking & Equipment Moves: Coordinate trucking move permits and schedule necessary equipment moves to ensure job site efficiency.
- T&M Requests: Handle time-and-material (T&M) requests, ensuring proper documentation and approval processes are followed.
- Exact Time Entry: Enter job-related information into Exact Time software, ensuring accurate tracking of work hours.
- Payable Approvals: Approve and track payables, ensuring correct job numbers are added and all necessary documentation is attached.
- System Updates: Mark jobs complete in Procru and ensure all related records are up to date.
Qualifications:
- Proven experience in construction coordination or a similar field.
- Excellent organizational and time management skills.
- Strong attention to detail and ability to handle multiple tasks at once.
- Experience using project management software (e.g., Procru, Exact Time) is a plus.
- Strong communication skills, both written and verbal.
- Ability to work independently and as part of a team.
- Ability to problem-solve and handle unexpected challenges in a fast-paced environment.
- Familiarity with construction materials, equipment, and job site operations.
- Basic knowledge of job costing and budgeting is a plus.
