What are the responsibilities and job description for the Administrative Assistant position at Aspire Wellness Center?
Summary:
The Administrative Assistant will provide administrative and staff support to the general organizational operations, as well as working closely with Medication and Therapy Providers to ensure accurate and timely completion of client/provider requests. Working under the direct supervision of the Administrative Office Manager and Clinical Office Manager, this position provides all necessary organizational support and is responsible for a variety of other tasks (see below).
Duties and Responsibilities:
· Answering phone calls
· Scheduling appointments
· Handling requests received from various sources such as email, phone call, fax, etc.
· Filling gaps and cancellations in schedules.
· Ability to learn and assisting with intake paperwork, authorizations, transfer requests, discharges, medication requests, and more
· Attend monthly administrative staff meetings
· Tidying throughout the office daily (if working on-site)
· Maintain a pleasant and professional treatment environment.
· Demonstrate exemplary customer service skills with Aspire’s clients by establishing rapport, maintaining appropriate empathy, and serving as a model of a positive first impression at the front desk
· Enhance customer satisfaction through consistent professional interactions and the provision of customized treatment of each client
· Ensure professional treatment of all patients as it relates to the patients’ individual conditions and clinical needs
· Establish rapport with potential new clients and assist in scheduling appointments, medication requests, etc.
· Respond to client questions and concerns about services in a friendly and professional manner
· Implement the clinic’s accessibility & cultural diversity plan, giving special attention to overcoming cultural and physical barriers
· Pursue customer service & customer satisfaction through the implementation of Aspire’s policies and Code of Ethics. Have no more than 4 negative customer reviews.
· Respond to all requests from staff in a courteous and punctual manner.
· Assist with auditing therapist chart documentation and ensure records are accurate and up to date
· Ensure adherence to HIPAA regulations and have 0 HIPAA violations per year
· Adhere to Aspire’s vision and mission statement, in addition to, it’s values
· Other duties as assigned by supervisor with a sense of humor and team spirit
Qualifications:
· Minimum 0 to 1 years office administrative support experience is preferred
· High school diploma required; AA and/or MA preferred
· Knowledge of business office procedures
· Excellent oral and written communication skills, organizational expertise, and the ability to excel at details, multi-tasking, and working under pressure
· Ability to establish and maintain effective working relationships with clients and staff
· Skilled in the use of computer software, especially Microsoft-based programs such as Outlook, Word, and Excel
· Experience with Practice Fusion or a similar EHR is preferred, but not required
Job Type: Full-time
Pay: $16.00 - $19.00 per hour
Expected hours: 36 – 40 per week

- Monday to Friday; some Saturday hours available on a rotating schedule
