What are the responsibilities and job description for the Accounts Payable Lead position at ASRC Careers?
Under the general direction of the Accounting Manager, the primary function of this position is to ensure the accurate and timely processing of payments and disbursement of ASRC Corporate funds. The accounts payable operations include: (1) processing of invoices; (2) maintenance of AP Inbox; (3) maintenance of accounts payable files, check copies and data reports; (4) production of weekly payment runs; (5) month end AP closing and completion of month end reports; (6) monthly reconciliation of accounts. The position reports to the Anchorage Accounting Manager.
The scope of the position includes: (1) communicating with elected and appointed officers, and various departments regarding payment and invoices for approval and signatures; (2) communicating with outside vendors regarding payments and invoices.
ESSENTIAL DUTIES AND RESPONSIBILITIES (and other duties as assigned)
- Ensuring the integrity and timeliness of vendor payments / deadlines.
- Preparation of cash disbursement vouchers by verifying general ledger account numbers, department approval of invoices, and accuracy of information. Coding invoices to align with budget and GAAP.
- Supervise Accounts Payable Technicians ensuring timely processing of invoices and payments.
- Establishment and maintenance of AP inbox, accounts payable files, payment records and periodic data reports.
- Receive, and process incoming invoices in ERP for department approval.
- Ensure timely processing of invoices according to payment terms and company policies.
- Initiate payment runs for vendors through various methods (check, ACH, wire transfer).
- Receive and distribute incoming department correspondence to finance department.
- Monthly reconciliation of bank accounts and other general ledger accounts.
- Monthly closing of accounts payable (AP) ERP module.
- Assist with special projects as assigned.

EDUCATION and/or EXPERIENCE
- Three years’ experience in an accounts payable position. Demonstrated knowledge and understanding of accounts payable functions, routines, and guidelines.
- Experienced in a lead accounts payable role.
- One year certificate from college or technical school; or one-year related experience and/or training; or equivalent combination of education and experience.
- Basic knowledge of current Generally Accepted Accounting Principles (GAAP).
- Basic knowledge of Microsoft Word, Microsoft Outlook, and Adobe
- Proficient in Microsoft Excel.
- Experience in Oracle or other accounting Enterprise Resource Planning (ERP) systems. Oracle Cloud preferred.
- Understanding of bookkeeping and related accounting practices and procedures.
- Ability to operate computer systems relating to accounting and financial reporting.
- Proficient written and oral communication.
- Strong knowledge, understanding and sensitivity to the Inupiat culture.
LANGUAGE SKILLS
Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively and present information before groups of employees or customers.
MATHEMATICAL SKILLS
Ability to calculate figures and amounts such as discounts, interest, commissions, proportions and percentages. Ability to apply concepts of basic algebra and geometry.
REASONING ABILITY
Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.

The work environment is in a busy office setting. The noise level in the work environment is usually moderate.
