JOB SUMMARY

Under the general direction of the Arctic Education Foundation (AEF) Director, the Scholarship Coordinator is responsible for the processing and coordination of AEF scholarships. This position supports the AEF Director and Administrator by processing scholarship awards, traveling and coordinating student outreach, providing scholarship reporting, and supporting all fundraising events. Works closely with students and communities to educate them on scholarships, short-term training funding, and cultural program opportunities.

ESSENTIAL DUTIES AND RESPONSIBILITIES (and/or other duties as assigned)


  • Assist with the AEF website and Facebook page.
  • Knowledge and understanding of online application systems.
  • Process all deposits into AEF accounts.
  • Works with the AEF Administrator in monitoring all incoming applications.
  • Work with students on submitting applications and provide guidance as needed.
  • Coordinates and assists with the planning and delivery of items for all AEF events and fundraisers.
  • Assist with reporting to ensure compliance with applicable regulations; maintain regular communication with the Director to report statistical information on a student scholarship and training data.
  • Performs scholarship-related, pre- and post-award functions. Ensures expenditures are compliant before requesting approval from the Director and performs budget and expense analysis for scholarships and training.
  • Performs scholarship application, management, and closeout functions on scholarships and training.
  • Ensures accuracy of journal entries and maintains scholarship file systems.
  • Assists with all fundraising efforts associated with AEF.
  • Assist with cultural programs as needed.

EDUCATION and/or EXPERIENCE


  • Strong knowledge, understanding, and sensitivity to the Inupiat culture.
  • High school diploma or equivalent; Associate’s degree is preferred.
  • Three years of administrative and or accounting skills.
  • Proficiency with Microsoft Office programs,
  • Courteous and proficient in verbal, written, and interpersonal skills.
  • Comfortable with public speaking.
  • Able to travel on small aircraft to the North Slope villages

LANGUAGE SKILLS


Good administrative and organizational skills. Strong written and verbal communication skills. Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulation. Ability to prepare clear and accurate business reports, correspondence, and process and procedure manuals. Ability to effectively present information and respond to questions from AEF Directors, groups of managers, educational institutions, applicants, prospective donors, and the general public.

REASONING ABILITY


Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations. 

PHYSICAL DEMANDS


The physical demands described herein are representative of those that must be met by an employee to successfully perform the essential functions of this job. The incumbent is frequently required to talk, hear, walk, and see. The job may occasionally require the handling of objects weighing up to 35 pounds. 

WORK ENVIRONMENT: 


The work environment characteristics described herein are representative of those an employee encounter while performing the essential functions of this position. Work is typically performed in an office setting and is sedentary in nature.   The incumbent is occasionally required to travel in small and large commercial fixed-wing aircraft in diverse weather conditions to remote locations.
