Purchasing Assistant – Jotto Desk
Job Title: Purchasing Assistant – Jotto Desk

Job Summary
The Purchasing Assistant supports procurement by ordering products or materials based on current inventory needs.
Essential Functions

- Responsible for preparing and submitting POs as needed by the Buyer.
- Maintain Purchase order records upon confirmation from suppliers and as requested by the Buyer.
- Create and submit all secondary process purchase orders upon receipt of advanced ship notice.
- Create and Process Outside Process Job Orders
- Monitor and process Jotto Desk RTV’s.
- Collect and file new Jotto Desk vendor documentation.
- Maintain detailed purchase records including pricing, vendor information, and delivery dates as provided by the buyer.
- Process end-of-month expense reports for Jotto Desk Buyer and Director of Purchasing.
- Run and distribute daily reports to necessary suppliers to obtain tracking and upcoming delivery details.
- Investigate and resolve invoice and/or packing list discrepancies for Accounts Payable and Receiving.
- Backup coverage for buyer when they are out of office.

Supervisory Responsibility
This position has no direct supervisory responsibilities.
Work Environment
This job operates in a clerical office setting. This role routinely uses standard office equipment such as computers, phones, copiers, filing cabinets, and fax machines.
Physical Demands
This is primarily a sedentary role; however, lifting, bending, stooping, and standing are necessary. Mental alertness and long periods of concentration.
Position Type/Expected Hours of Work
This is a full-time position. Days and hours of work are Monday through Friday, 8:00 a.m. to 5 p.m. Evening and weekend work may be required as job duties demand.
Preferred Education and Experience
- High School Diploma or equivalent.
- Basic knowledge of Microsoft Office programs.
