What are the responsibilities and job description for the Front Desk Assistant position at Associa?
The Front Desk Assistant acts as the daily source of information to the residents on a variety of association-related matters, performs administrative tasks and assists Management. Must be detail oriented, diplomatic, take initiative and have demonstrated experience working with computers. Acquire knowledge of and be able to explain and implement association policies and procedures.
Ideal candidates will demonstrate a sense of pride in their work, will take their responsibility seriously, and will work successfully as a team member and/or independently.
Responsibilities & Duties:
- Become familiar with Association practices, documents, and the physical entity including knowledge of the streets, unit types and community facilities to facilitate answering questions and identify needs.
- Interact with residents; greet and assist residents (i.e. facility passes and website registration).
- Address resident inquiries and concerns in a timely manner.
- Answer office telephone and return all calls in a prompt and professional manner.
- Correspond via email and telephone with residents, contractors, vendors regarding various matters.
- Coordinate use of clubhouse including maintaining calendar, meeting with residents, including meeting with residents to discuss private rentals and complete daily inspections of the facilities.
- Maintain filing system for homeowners, accounts payable, contractor Certificates of Insurance, and other important association papers.
- Assist with general office management, including inventory and ordering supplies.
- Other projects as requested.
- High School Diploma or GED Required.
- 1 year of front desk, administrative, clerical, customer service experience.
- Excellent customer service skills, communication skills (written and spoken), and team oriented.
- Knowledge of Outlook, Excel and Word.
- Ability to communicate with multiple stakeholders, for example community managers, vendors, peers, clients, and work effectively with others in person and in group setting.
- Ability to employ conflict resolution techniques.
- Able to prioritize, manage time, and meet deadlines.
- Able to interpret verbal and/or written instructions at a proficient level.
