Office Administrator
Position Type: Full-time Location: Lincoln, Nebraska Reports to: President, CEO
Position Overview
The Office Administrator plays a vital role in ensuring the efficient operation of the organization by providing administrative support, serving as a liaison to the Board of Directors, coordinating meetings, managing member services, and handling minor accounting tasks. This position requires strong organizational skills, attention to detail, and the ability to multitask in a fast-paced environment.
Key Responsibilities
Administrative Support:
Oversee daily office operations, ensuring a well-organized and productive work environment.
Manage correspondence, phone calls, and inquiries, directing them to appropriate personnel.
Maintain and update organizational records, files, and databases.
Assist with drafting reports, presentations, and communications.
Manage organizations calendar of events and assist in planning
Board of Directors Liaison
Coordinate and schedule Board meetings, coordinate agendas, and distribute materials.
Maintain meeting minutes and official records.
Facilitate communication between the Board, committees, and other stakeholders.
Meeting & Event Planning
Assist Membership Director with internal and external meetings, conferences, and special events.
Assist Membership Director with logistics, including venue selection, catering, travel arrangements, and technology setup.
Ensure accurate documentation and follow-up on action items from meetings.
Member Services
Serve as the primary contact for members in the Lincoln office, addressing inquiries and providing assistance.
Assist in maintaining and updating membership records, databases and files.
Assist in implementing member engagement initiatives.
Accounting & Financial Support
Assist with printing/scanning reports from different programs weekly for the Accounting Manager
Take checks to the bank daily/weekly
Upload invoices to the accounts payable software for payment
Qualifications & Skills
Proven experience in office management, administration, or a related field.
Strong organizational and multitasking skills.
Excellent communication and interpersonal abilities.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and familiarity with database management.
Experience with bookkeeping or financial tasks is a plus.
Ability to handle confidential information with discretion.
Preferred Qualifications
Experience working with nonprofit organizations, associations, or boards of directors.
Familiarity with membership-based organizations and customer service best practices.
Knowledge of accounting software (e.g., QuickBooks) is a plus.
