Position Summary:
The Patient Service Representative position responsible for greeting and assisting patients in a prompt, courteous and professional manner and receiving/answering incoming telephone calls in the same manner. The Patient Service Representative is to be cross trained in all aspects of reception to provide sufficient coverage. Certain duties may vary based upon office location and department structure. You will be required to travel to the local Syracuse office upon business needs.
Essential Functions:
- Greets patients and visitors in a prompt, courteous, and helpful manner. Responsible in carrying out all requirements, and applicable laws as regulated by the Department of Health, and OSHA.
- Effectively handles the patient check-in process.
- Takes photograph of all new patients and for any patients in which a photograph is not already on file.
- Obtains patient demographic, and insurance information, ensures all information entered in the computer is accurate and any necessary paperwork is forwarded to the appropriate departments.
- Ensures all required documents are presented to the patient for understanding and signatures are obtained.
- Completes eligibility check on all insurance carriers listed in the patient’s chart.
- Works with the Billing Manager and billing staff to ensure proper procedures are followed during patient check-in and check-out to secure accurate patient financial data. Verifies accuracy of the collection of copays and required receipts of payment. Ensures patient balances as well as copays are collected at the time of visit.
- Effective handles the check-out process.
- Schedules all patient follow-up appointments, x-rays, required labs, etc. and refers patients to other area providers as needed. Ensures referral information is in the patient’s chart as per AMP policies and procedures.
- Answers calls addressing appointment times, patient requests and general inquiries within the scope of their position.
- Reviews patient’s chart for accuracy prior to upcoming appointment and ensures all required information is included for the physician to see the patient. Calls referring office for any missing items.
- Obtains referrals needed for patient appointments.
- Responds to triages and emails, as allowed within their job scope, and ensures all provider requests are addressed and responded to as a priority.
- Follow up on patients who “no show” for their appointment, adhering to AMP’s policies and procedures.
- Prepares and sends out patient discharge letters and handles all other patient related mailings for the office.
- Maintains fax, printers, copier, ensuring paper supplies and toners are filled appropriately.
- Tracks and orders all office supplies and snacks through the office manager.
- Maintains storage area in a neat and orderly fashion ensuring all supplies are stocked and organized.
- Maintains the waiting area, discarding any items that are not appropriate. This includes, but is not limited to, removing used coffee cups, soda cans and other food items as well as straightening seasonal carpets and placement of plants. Performs checks within the waiting room/patient restrooms to ensure patients comfort and safety.
- Maintains a high level of patient confidentiality and ensures all patient information is maintained according to the established patient confidentiality policy.
- Performs all other duties as assigned.
Education / Licensure / Experience:
- High School Graduate or equivalent
- An Associate Degree is preferred
- Minimum of one (1) years of related experience
- Experience with Electronic Medical Records systems
- Bi-Lingual speaking a plus but not required
Knowledge, Skills and Abilities Required:
- Strong interpersonal and communication skills and the ability to work effectively with a wide range of constituencies in a diverse community
- Ability to organize and prioritize work assignments with attention to detail
- Strong PC skills, including Microsoft Office systems; Knowledge of medical terminology
- Ability to use multi-line phone system including transferring calls and paging
- Ability to understand the importance of and respect the confidentiality of all patient information
- Ability to prevent, calm or defuse irate callers and patients by working with them to identify concerns and provide appropriate help
- Knowledge of a medical office environment preferred.
Job Type: Full-time
Pay: $18.00 - $23.00 per hour
