GENERAL STATEMENT
Under the general supervision of the Assistant Director of Facility Maintenance, the Facility Maintenance Supervisor directly supervises and coordinates the activities of workers engaged in a wide variety of skilled, semi-skilled and basic skilled generalist work across multiple trades. The incumbent has a working knowledge of theories, codes, and general trade practices in applicable trade areas. Performs general maintenance, repairs, and renovation of Associated Students, Inc., and Beach Shops Facilities; including, but not limited to: University Student Union (USU), Student Recreation and Wellness Center (SRWC), Isabel Patterson Child Development Center (IPCDC), University Bookstore, Retail Dining and Residential Dining Kitchens.
Responsible for inspecting building systems, facilities and equipment to assess conformance with operating standards. Determines the need for repair and maintenance and the extent of equipment, and materials. Incumbents may be required to work evening and weekend shifts.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.
1. Oversees team of 4-5 full-time maintenance technicians, handling responsibilities such as training, hiring, and directing their activities. Collaborates closely with the Lead Maintenance Technician and operates under the leadership of the Assistant Director. Supervises 8-10 student assistant personnel, assigning, and monitoring work, and approving timecards.
2. Leads and assists maintenance staff engaged in painting, plumbing, electrical wiring, grounds maintenance, pinsetter repairs and maintenance, and the performance of structural repairs to masonry, woodwork, and furnishings within and around the facilities. Responsible for monitoring day-to-day facility operations at all ASI/Beach Shops facilities
3. Coordinates maintenance activities on utility systems to ensure a continuous supply of heat, electricity, gas, water, and air. Notify management of the need for major repairs, alterations, additions to lighting, plumbing, and HVAC systems and equipment.
4. Manages the preventive maintenance program Asset Essentials for the ASI and Beach Shops and directs maintenance staff in its execution.
5. Coordinate activities of outside service contractors for landscape, elevator, escalator, HVAC controls, and fire alarm services.
6. Under the direction of management, facilitates special projects with outside contractors including job walks, contractor coordination, project scheduling, and oversight. Works with Assistant Director to obtain bids for work from outside contractors.
7. Requisitions or purchase building and maintenance supplies, tools, machinery, and equipment.
8. Review reports and statistics to plan and modify maintenance activities. Confer with management to resolve maintenance problems and recommend measures to improve the operation and condition of buildings and equipment. Implement new methods and procedures to improve operations, minimize operating costs, and
effectively utilize labor and materials.
9. Assist management in preparing the department budget and monitoring the budget.
10. Coordinates schedules with management, Lead Facility Maintenance Technician and Facility Maintenance Technicians for “Call-Back” times and will be able to respond to “After-hours” calls for maintenance assistance as needed. Will periodically be required to work overtime as needed and determined by supervisor.
11. Ensures waste materials (refrigerants, lamps, oils, paints, e-waste, etc.) are stored and disposed of, consistent with the expectations and requirements of Environmental Health and Safety regulations.
12. Ensure installations, repairs, and maintenance are performed with quality and meet health and safety, as well as environmental protection, requirements.
13. Maintain strict adherence to safety procedures, participate in departmental safety meetings, and ensure a safe and clean working environment, including work areas, shops, storage areas, and office spaces.
14. Drives company vehicles as needed or directed by supervisor for facility needs. Must be able to use forklift, aerial lift, truck or electric cart to complete duties for all facilities.
15. Assists in any emergency response efforts and is part of the Building Marshal Program.
16. Performs other duties as assigned.
SUPERVISORY RESPONSIBILITIES
In coordination with the Assistant Director of Facility Maintenance, this incumbent directly supervises 4-5 full-time employees and 8-10 student employees in the Facility Maintenance Department. Carries out supervisory responsibilities in accordance with the organization's policies and applicable laws. Responsibilities include interviewing, hiring, and training employees; planning, assigning, and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems.
MINIMUM QUALIFICATIONS
Education and/or Experience
High school diploma or equivalent. Two years of journey-level experience in a facility related trade (plumbing, electrical, HVAC, Carpentry or equivalent combination of formal course work and hands-on experience; plus, three or more years’ experience as journey-level crafts worker in one or more applicable mechanical or related trades is preferred, including three years in a lead/supervisory capacity.
Certificates, Licenses and Registrations
Possess a valid California driver’s license.
Knowledge and Abilities
Thorough mechanical and technical knowledge of HVAC, refrigeration, and other mechanical equipment: thorough knowledge of the methods, tools, materials, and equipment used in the operation, maintenance, and repair of such equipment. Ability to demonstrate a high degree of mechanical skill equivalent to the journey level in one or more basic trades such as plumbing, pipe setting, electrical, or air conditioning. Ability to read, interpret, and work from blueprints, plans, drawings, and specifications and provide direction on the interpretation and use of such to the assigned work crew. Ability to read and interpret complex operating manuals, diagrams, technical procedures, and governmental regulations. Ability to prepare rough sketches. Ability to determine and coordinate staffing, material, and equipment needs for multiple jobs and projects. Ability to perform basic design work. Ability to maintain records and retrieve data related to work performed using manual and/or computerized record-keeping systems and ensure the accuracy and maintenance of assigned record-keeping systems.
Ability to plan and direct the work of skilled crafts workers and semi-skilled workers. Ability to ensure work is performed in sequence. Ability to inspect and assess work to ensure it meets requirements and specifications. Ability to analyze and respond appropriately to emergencies. Ability to maintain currency in applicable industrial safety orders and regulations pertaining to facilities and related equipment. Ability to author reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from
groups of managers, clients, customers, and the public. Ability to calculate figures and amounts such as proportions, percentages, area, circumference, and volume. Ability to apply concepts of basic algebra and geometry. Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
