ADLM, a DC-based dynamic, international scientific/medical society of clinical laboratory professionals, physicians, and research scientists focused on clinical chemistry and related disciplines, is seeking a Coordinator, ADLM Academy & Science Programs.
The Coordinator, Academy & Science Programs provides administrative and logistical support to department staff involved in the management of the Academy, the Science & Practice Core Committee, and scientific programming. This position is instrumental in ensuring effective operations for these important membership groups and scientific initiatives. The Coordinator, Academy & Science Programs, reports to the Manager, Academy.
Responsibilities include:
Academy
- Provide logistical assistance for Academy face-to-face meetings, conference calls, and virtual meetings
- Attend committee meetings as requested to record deliberations and compile and distribute discussion minutes
- Regularly update website, including biweekly Scientific Shorts. Work with Manager, Academy, to ensure all content is up to date
- Process membership applications and approvals, including communication with new fellows
- Implement new membership processes, as stipulated by the Academy Council
- Monitor Academy membership issues and report to Manager, Academy
- Support Academy membership and membership maintenance procedures, including monitoring and notifying lapsed fellows (inform current fellows, track responses and applications, and update membership committee on application processing timeline)
- Provide logistical support for Academy annual scientific meeting (AM) events
- Update booklets, presentations, scripts, certificates, and awards (virtual and printed materials) for yearly Academy events (i.e., Academy Council events, AM), working with ADLM internal departments and external stakeholders
- Maintain calendars and timelines for Scientific Shorts and Artery posts
- Work with Scientific Shorts Editorial Board to solicit and track posts, ensuring a constant stream of content
- Work with Test Utilization Committee to track submissions, facilitating communication between committee members and authors to finalize content
- Maintain and adhere to Academy Communications plan, scheduling broadcast emails according to calendar
- Communicate with committee chairs and members as necessary
- Support Academy election and awards processes
Science & Practice Core Committee (SPCC)
- Provide logistical support for SPCC meetings, conference calls, virtual meetings, and projects, including expense tracking. Travel to off-site meetings may be required
- Attend SPCC-related meetings – both virtual and in-person – as requested, to record deliberations and compile and distribute discussion minutes
- Update presentations, agendas, and informational books, for regular meetings
- Coordinate and schedule meetings with SPCC-related taskforces, working groups, and subcommittees and provide logistical support for their meetings
Science & Practice Programs
- Under the direction and training of the Director, Science & Practice Programs, support scientific initiatives and programs, including the Universal Sample Bank, COVID Immunity Study, and others.
Other Duties
- Support and participate in the work of ADLM taskforces as requested. Duties may include:
- Schedule and attend meetings
- Compile and distribute minutes
- Maintain consistent communication with taskforce members and ADLM colleagues
- Maintain taskforce-related documents and records
- Draft reports and other written materials
- Research pertinent articles and resources (both scientific and news sources)
- Present resources to taskforces and staff via email, Zoom, and file sharing
- Facilitate and participate in discussions among staff and taskforce members
- And as assigned
Qualifications
- Bachelor’s degree and one year of experience or additional work experience in lieu of degree.
- Demonstrated attention to detail and strong organizational skills
- Strong written and verbal communication skills
- Outstanding interpersonal skills with focus on customer and volunteer relations
- Enthusiasm for scientific inquiry and problem solving
- Experience multi-tasking while meeting deadlines
- Interest in association management
- Familiarity with Microsoft Office
- Experience supporting scientific programs a plus

ADLM currently is working a hybrid office schedule with staff coming into the office one day a week with the ability to work remotely from home up to four days a week.
