ABOUT THE ROLE
Associations International is seeking a Membership Coordinator to join the Accounting and Financial Women’s Alliance (AFWA) team! In this role, you will support AFWA’s membership growth, engagement, and retention efforts by providing outstanding service to members, partners, and sponsors. This position is key to strengthening AFWA’s professional community by managing administrative tasks, facilitating communications, and enhancing the overall member experience.
As a Membership Coordinator, you will oversee membership communications, maintain promotional materials, and track engagement metrics to optimize outreach strategies. Responsibilities include processing membership renewals, managing invoices, and coordinating event registrations. Additionally, you will assist with marketing initiatives, conduct market research, and leverage tools like Sales Navigator and social media to engage prospects and re-engage former members. By analyzing campaign performance and tracking communications, you will contribute to the continued growth and retention of AFWA’s membership base.
The ideal candidate for this role will be located in or around Lexington, KY and have the ability to work a hybrid schedule, with two in-office days per week. The Membership Coordinator will report to the Executive Director of AFWA.
ESSENTIAL FUNCTIONS AND RESPONSIBILITIES
a.) Administrative:
- Maintain promotional materials related to membership, partners, sponsors, and exhibitors
- Analyze campaign metrics
- Implement strategies to optimize lead quality and quantity
- Assist with marketing efforts of the organization
- Establish and maintain a tracking system for communications
- Maintain deliverables and ensure all deliverables are fulfilled
- Provide administrative support to the Executive Director
- Perform general office duties including scheduling meetings, maintaining the master calendar
- Prepare, proofread and distribute reports, memos and other documents as required
- Arrange and prepare for meetings including preparing agendas, reviewing minutes, obtaining committee reports and maintaining filing systems to ensure records are kept up to date
- Communicate on a consistent and regular basis with current and potential partners, corporate members, affiliates, sponsors, and exhibitors
- Coordinate with companies and partners to understand their specific requirements and ensure successful delivery
b.) Prospecting:
- Generate and maintain potential partners, corporate membership, affiliates, sponsors, and exhibitor lists
- Conduct market research to identify new business opportunities based on trends in the accounting and finance fields and competitor activities
- Leverage Sales Navigator and other tools to connect with potential partners, corporate members, affiliates, sponsors, and exhibitors
- Utilize social media for prospecting, lead generation, and promotion
- Reengage former members, partners, corporate firms, affiliates, sponsors, and exhibitors
c.) Membership:
- Deliver exceptional customer service to association members and partners
- Respond to emails and phone calls within 24 hours (or same day when possible); provide updates when answers require further research
- Maintain in-depth knowledge of the assigned client, including their structure, membership database, and member benefits
- Process new and renewal memberships, ensuring adherence to the annual dues cycle
- Review, update, and monitor communications sent through various systems and the membership database
- Manage invoice processing for members and corporate members, including proofing, delivery, and follow-up
- Oversee conference and event registrations, handling data entry and payment processing for attendees, sponsors, and exhibitors
- Coordinate inventory management in collaboration with core staff
- Handle badge printing and assembly for all events
- Promote member renewals, conference participation, and new member recruitment
- Follow Standard Operating Procedures (SOPs) and update them as process improvements are identified
- Perform other duties as assigned
Requirements
QUALIFICATIONS AND SKILLS
- Undergraduate degree or equivalent experience; 2 years of customer service preferred
- Proficiency in Office 365, CRM systems, and administrative tasks
- Experience with Sales Navigator, lead generation, social media marketing, and affiliate marketing
- Strong analytical and research skills; ability to interpret data and optimize strategies
- Excellent verbal and written communication; strong relationship-building abilities
- Highly organized with strong planning, prioritization, and multitasking skills
- Proactive and solutions-oriented; takes initiative to improve processes
- Adaptable, eager to learn, and thrives in fast-paced environments
- Upholds high ethical standards, confidentiality, and accuracy
- Detail-oriented with a strong commitment to quality outcomes
- Professional demeanor with the ability to engage stakeholders at all levels
- Willingness to travel as needed
