What are the responsibilities and job description for the Executive Assistant Investor Relations / Marketing position at Aster Talent?
Executive Assistant opportunity with SF based hedge fund in the Presidio. A minimum of three years of experience with executive support, facilities and office administration is required.
RESPONSIBILITIES : Partner Support
Outlook calendar management & all aspects of domestic / international travel (air, ground, and lodging) for assigned partners.
Assist Investor Relations partner with Business Development initiatives including information collection for prospective client meetings, maintaining or tracking data regarding networking.
Assist with tracking of investor calls and emails – use of Backstop software to track all investor interactions.
Assist COO / CCO with various tasks
General Office Management
Manage and own office vendor relationships.
Coordinate with our IT vendors to manage onsite IT support and day to day issues
Assist in the planning and execution of events and special, ad hoc projects, and catering
Track business expenses and prepare monthly expense reports
Prepare conference rooms for internal meetings. This includes ensuring meeting rooms are “client ready” (e.g., remove drinking glasses and tidy the rooms).
Coordinate with the building’s security to ensure guests are registered (for assigned partners).
Order groceries and office supplies and pack away orders after they are received
Oversee building service requests and building management. Work with the building management team to resolve any office related issues (e.g., ensure items are repaired or light bulbs are replaced).
REQUIREMENTS :
3-5 years of previous administrative experience
Bachelor's degree preferred
Strong MS Word, Excel, Outlook, PowerPoint and writing skills
Ability to multi-task and juggle many tasks at once
MUST be team oriented and extremely detail oriented
Excellent organizational skills and a professional, proactive attitude
