To accomplish that, we are looking for a community-minded, attentive, and adaptable Community Builder to join our team. The successful candidate will be an enthusiastic, poised, outgoing team player with event and/or project management skills.

Position Summary

As the Event Coordinator/ Community Builder for the Astoria-Warrenton Area Chamber of Commerce, you will help us bring our community and membership together in strategic and widely beneficial ways beginning with our signature chamber events.

We are looking for someone whose events/project management experience will help them thrive in fast-paced, high-pressure situations. We’ve got a team ready to support you when you need it and a solid framework to build on the existing success of our signature annual events.

You will work independently, managing your own daily tasks, prioritizing based on project history and deadlines, while proactively staying organized to avoid being overwhelmed.

The full-time, year-round position is primarily located at our chamber office in Astoria, Oregon and requires weekend work during events. Once you feel comfortable with our annual events, we welcome you to seek and develop other opportunities to help our membership shine and our community thrive, which may include leadership programs, networking events and other initiatives.

You will be a conduit of information between vendors, contractors, participants, staff, and others as you go from long-term planning to day-of event management. Your attention to detail, ability to collaborate effectively and thinking ahead will ensure this is a fun, exciting and fulfilling role for you in our organization.

Key Responsibilities

· Plan, organize and direct AWACC’s events and activities. Our annual signature events include: membership meeting & awards banquet, 2-day wine competition, 3-day crab, seafood & wine festival, and 10K run/walk.

· Develop and maintain collaborative working relationships with contractors, sponsors, municipalities, vendors, and more.

· Ensure program objectives are delivered to membership, sponsors, and community at-large.

· Communicate effectively while being professional, diplomatic and understanding.

Located in a special place where the Columbia River meets the Pacific, the Astoria-Warrenton Area Chamber of Commerce has been building, maintaining and encouraging a healthy, diverse local economy since 1873. Our 600 business members represent every sector of the North Oregon Coast economy. In addition to Chamber responsibilities, we serve Astoria and Warrenton as destination manager and visitor center.

Required:

  • High School Diploma or Equivalent
  • Excellent communications skills
  • Event and/or project management experience
  • Ability to work weekends during events (at least 5x/year)
  • Excellent time-management and organization skills
  • Accuracy handling & recording agreements, transactions and process
  • Experience with computer systems such as Microsoft Office applications, CRM software, event and ticketing software, web browsers, social media platforms, smart phones, tablets. We currently use Teams, EventHub, Afton Ticketing, GetMeRegistered, Constant Contact, and ChamberMaster.
  • Legally able to work in United States
  • Strong interpersonal and problem-solving skills
  • Ability to work independently
  • Valid driver’s license with a clean driving record.

  • Experience recruiting, training and supervising volunteers
  • Remarkable customer service skills
  • Skilled at conflict resolution
  • Spanish language skills
  • Experience working in Adobe Creative Suite and website management
  • Comfortable with a high level of physical activity (lifting up to 40 pounds)

Work Environment:

Staff is expected to work in a variety of environments, including but not limited to indoor, outdoor and tented events, board and committee meetings, virtual events, and the Chamber office.

Physical Requirements:

Event set-up, operation, and tear-down can involve long days and the need to lift or move heavy equipment and supplies. Most days are office work only and require mental clarity and focus along with the ability to work at a computer for extended periods.

COMPENSATION

This is a 40 hour per week, full-time, year-round position.

Starting wage $23-26 per hour DOE

Overview:

  • Develop and maintain a collaborative working relationship between the Chamber and other businesses, government departments, volunteers and community organizations.
  • Handle and prioritize conflicting complex demands.
  • Plan, organize and direct AWACC’s events and activities for members and the community.
  • Implement programs, services and activities to ensure program objectives are delivered to membership, sponsors and community at large.
  • Compile information on event activities for the Director and the Board, both in written and verbal reports when requested.
  • Maintain accurate records, communicate with co-workers and utilize both physical and digital record keeping systems to ensure information accuracy and redundancies. Use of an internal server for digital file storage.
  • File and track all necessary applications and permits related to events.
  • Create and manage the event budgets.
  • Work to support current sponsors and identify new ones.
  • Communicate effectively, both in public and interpersonal areas.
  • Serve as a liaison to the members, volunteers, sponsors and community organizations who work with the AWACC and its events
  • Represent the AWACC in statewide festivals and events associations.
  • Be professional, diplomatic, flexible and committed to accuracy and customer service.
  • Exercise independent judgment, work under pressure with constant deadlines and multiple priorities, and coordinate projects in complex organizational structure while performing optimally and maintaining both quality and quantity of work.
  • Promote teamwork and professionalism with the ability to manage in some areas while serving as an assistant in others.
  • Work within guidelines established by the AWACC bylaws and policy manual.
  • Attend weekly staff meetings at AWACC.
  • Take on new responsibilities as requested by the Executive Director, which may include:
  • Occasional visitor center coverage, including providing customer service to visitors in person, online and by phone.
  • Attending community meetings or activities as relates to job duties.
  • Posting to AWACC’s social media channels and/or responding to the public.
  • This position sometimes calls for significant lifting and carrying (approx. 40lbs.).
  • This position sometimes calls for hauling items with personal vehicle

Job Type: Full-time

Pay: $23.00 - $26.00 per hour
