What are the responsibilities and job description for the Intake Coordinator position at Astra Behavioral Health?
Position Summary: Centralized intake coordinator is responsible for sending and receiving new intake packets and scheduling with the appropriate provider, explaining the program that is offered within the agency, identifying appropriate programs needed for clients, interacting with client and referral sources, and working within an electronic medical record system (EMR).
Essential Functions/ Major Responsibilities:
1. Knowledge and ability to explain all of the agency’s programs.
2. Provider quality customer service.
3. Verify new intake packets are completed in their entirety, including but not limited to insurance cards, identification cards, court and guardianship paperwork, and releases of information are completed correctly.
4. Notify clients of their co-pays and deductibles before the appointment is scheduled.
5. Responsible for receiving all new intake packets.
6. Contact new clients to ensure that all the paperwork is correctly completed.
7. Enter into the EMR system.
8. Discuss with the client what services they are looking for and discuss with the client what all services Astra provides.
9. Any services that are identified will coordinate with that office program director and send a message to the providers whom they have scheduled the appointment with.
10. Maintain a list of provider openings.
11. Coordinating appointments and referrals to specialty services within the agency.
12. They will contact the referrals out of the referral box, request new packets, work up the referrals, and ensure they are being scheduled.
13. Going over the cancellation and no-show policy and the fees.
