The QA Documentation Specialist II is responsible for ensuring quality compliance by managing and reviewing critical documentation related to production and operational processes. This role oversees updates to key documents such as master production records, SOPs, analytical methods, and specifications to maintain alignment with quality standards and regulatory requirements.
Key Responsibilities:
- Manage quality and safety documentation programs in compliance with government regulations and third-party certifications (SQF, OSHA, FSMA, FDA, FSVP, APHIS, USDA, etc.).
- Oversee document change control, ensuring all necessary clarifications and supporting documentation are included.
- Collaborate with Manufacturing, Distribution, Sanitation, Packaging, Regulatory, EH&S, and Engineering teams to gather technical data and facilitate timely document review.
- Ensure CAPA (Corrective and Preventive Action) and correction programs meet OSHA, FSMA, and SQF requirements.
- Conduct routine audits on safety and food safety documentation to verify compliance with internal protocols.
- Support internal audits and self-inspections, ensuring corrective actions are effective.
- Manage SOP and Work Instruction (WI) approvals within the electronic Document Management System (DMS).
- Maintain audit-ready, up-to-date controlled documents.
- Verify accuracy of safety and food safety monitoring records, addressing nonconformances as needed.
- Assist leadership in delivering training programs for employees at all levels, ensuring compliance with OSHA, FSMA, and SQF standards.
- Develop and administer training programs via ALCHEMY and track personnel training status.
- Perform additional tasks as assigned by management.
Qualifications & Skills:
- Certified SQF Practitioner, HACCP, and FSMA-PCQI preferred.
- Strong knowledge of FDA and state regulations related to food or pet food storage, handling, and distribution.
- Experience conducting internal audits.
- Detail-oriented with strong organizational and communication skills.
- Ability to manage multiple priorities and meet deadlines.
- Familiarity with change control processes.
- Proficiency in Microsoft Office Suite (Word, PowerPoint, Excel, Outlook).
