Overview

The Staff Accountant is responsible for supporting the financial operations of the organization through accurate recordkeeping, financial analysis, and strong internal controls. This position requires expertise in QuickBooks, Excel, procurement systems, and other financial and project management software. The ideal candidate has strong attention to detail, can communicate effectively with vendors and customers, and can take initiative in developing and improving accounting systems. A key responsibility of this role is to support month-end closings, with limited time off available during the first five business days of each month. While this role is primarily office-based, hybrid and remote work may be approved by management as needed.

Responsibilities

· Process and manage Accounts Payable (AP) and Accounts Receivable (AR) transactions.

· Perform accurate and timely data entry of financial information.

· Record and reconcile purchase orders, requisitions, and credit card entries.

· Reconcile bank statements and internal accounts on a monthly basis.

· Track budgets versus actual expenses and provide variance analysis.

· Present financial statements and budget performance to management.

· Process payroll and assist with payroll-related reporting and documentation.

· Conduct payroll budget analysis and assist with compensation forecasting.

· Calculate and maintain records of Full-Time Equivalents (FTEs).

· Create financial pro formas for planning, forecasting, and decision-making.

· Maintain accurate records in QuickBooks, Excel, and other financial systems.

· Support the month-end close process; availability required during the first five business days of the month.

· Communicate professionally with vendors and customers to resolve billing, payment, and invoicing issues.

· Assist with budgeting, forecasting, and financial reporting.

· Participate in audits and prepare supporting documentation.

· Create and maintain accounting systems and workflows.

· Train coworkers on financial procedures, systems, and tools.

· Collaborate with purchasing and operations departments.

· Prepare and analyze profit and loss statements.

· Maintain and reconcile the general ledger.

· Track financial data by job or project, including job cost accounting.

· Enter and track checks with accuracy and proper documentation.

Position Responsibilities

· Input and maintain financial transactions using QuickBooks and Excel.

· Utilize procurement and project management software to monitor transactions and ensure accountability.

· Maintain well-organized financial files using SharePoint, OneDrive, and DropBox.

· Create pro forma financial statements to assist leadership in future planning and scenario analysis.

· Ensure all financial activities comply with internal controls and regulatory requirements.

· Support leadership by preparing reports, identifying financial trends, and offering strategic insight.

· Collaborate with internal departments on budget management and financial procedures.

· Analyze and improve existing financial systems and recommend efficiencies.

· Participate in meetings, including remote video meetings as needed.

· Assist in writing policies and procedures related to job responsibilities.

Requirements

· 3–5 years of experience in accounting or bookkeeping.

· Advanced proficiency in QuickBooks, Excel, and Word.

· Have knowledge and understanding of Generally Accepted Accounting Principles (GAAP).

· Familiarity with PowerPoint, SharePoint, OneDrive, DropBox, and financial project management software.

· Strong understanding of general accounting principles, payroll processes, and procurement.

· Experience working in multi-entity business environments.

· Excellent time-management, organizational, and problem-solving skills.

· Effective written and verbal communication skills.

· Ability to maintain confidentiality and discretion.

· Capability to work independently, manage priorities, and meet strict deadlines.

· Availability during the first five business days of each month to support financial closing.

Work Schedule & Environment

· Monday – Friday, 8:30 a.m. to 5:00 p.m.

· Time off is limited during the first five business days of each month to support closing activities.

· Primarily office-based work with supplemental remote work available upon management approval.

Physical Demands

· Office-based work environment using standard office equipment.

· Extended periods of computer and document analysis work.

· Occasional light lifting and document filing.

· Visual, auditory, and mental acuity required to review financial data and communicate effectively.
