A DAY IN THE LIFE OF AN ADMINISTRATIVE / BADGING COORDINATOR
Provide administrative support for Astrotech Space Operations, to include managing daily calendars, preparing correspondence, front desk reception, answering main phone lines, customer interaction, meeting set up, mail distribution, report preparation, coordinating travel arrangements, inventory, and stocking office supplies. Provide organizational and communication skills for effective office management and customer relations. Responsible for badging services for facility access. Organize company events. Ensure main lobby, breakroom, conference rooms, and copy room are organized and free of unnecessary clutter. Maintain integrated schedules for administrative tasks and other schedules as requested.
Key Duties include :
Essential duties and responsibilities include the following. Other duties may be assigned.
- Provide administrative support for Astrotech Space Operations, primary support for senior management.
- Provide confidential administrative support to the President / CEO.
- Provide front desk reception including answering phone lines, greeting customers, and directing questions to the appropriate source.
- Administrative support may include drafting correspondence, generating reports, initiating work orders, creating signs, binders, spreadsheets, presentations, coordinating travel arrangements, ordering office supplies, making coffee, light shopping, preparing expense reports, sending faxes, scanning, copying, filing, shipping, receiving, and distributing mail.
- Maintain integrated schedules for administrative tasks and other schedules as requested.
- Manage all conference room activities including scheduling, setting up for meetings, coordinating refreshments, greeting, and directing attendees.
- Coordinate copy machine repairs / service, vending machine restock / service, shredding service, and water cooler maintenance.
- Organize company events including any team building activities, social gatherings, or meetings.
- Manage inventory of company shirts, pins, badge holders, and hats.
- Administrative support for the document control system including formatting documents across departments. Creation of new forms in both Word and PDF in an effort to update documentation.
- Security badging for facility access to include creation of new badges, badge renewals, safety badges, encoding prox badges, and performing closed area checks.
QUALIFICATIONS FOR AN ADMINISTRATIVE / BADGING COORDINATOR
High School Diploma or equivalent with 3 years of administrative experience. Experience with Concur Travel preferred. Scheduling experience preferred, but not required.
Must be a United States citizen. Must be willing and able to successfully obtain a security clearance, up to Top Secret level, to retain employment.
