Summary

The Payroll and Accounting Specialist aids with and facilitates the payroll for all business locations. This position resolves payroll related issues and ensures the accuracy of the payroll. The Payroll and Accounting Assistant may also provide administrative support to the human resource function as needed, including record-keeping, file maintenance and HRIS entry.

This role will provide backup/vacation/leave support for the accounts payable role and other accounting functions as assigned.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

Human Resource department responsibilities:

· Administers payroll with the assistance of the HR Director.

· Performs customer service functions by answering employee requests and questions.

· Reconciles benefits statements.

· Assists with processing of terminations.

· Assists with the preparation of the performance review process.

· Assists with recruitment and interview process. Tracks status of candidates and responds with follow-up at the end of the recruiting process.

· Schedules meetings and interviews as requested by the director of HR.

· Makes photocopies; mails, scans and emails documents; and performs other clerical functions.

· Files documents into appropriate employee files.

· Assists or prepares correspondence as requested.

· Prepares new-employee files.

· Processes mail.

Accounting department responsibilities:

· Reconcile benefits invoices with payroll deductions in preparation for invoice payment.

· Assists in tracking expenses and invoices from vendors that relate to payroll, 401k, benefits, and insurance.

· Monthly bank reconciliations.

· Fixed asset software maintenance.

· Assists controller with quarterly account analysis including journal entries.

· Assists with accounting functions for real estate companies utilizing QuickBooks.

· Back-up Accounts Payable

EDUCATION and/or EXPERIENCE

Education

  • Accounting or Human Resources degree. PHR, SPRH, CP-SHRM, or other applicable certification is preferred.

Experience

· Minimum of two years’ related experience required.

SKILLS

· Excellent verbal and written communication skills.

· Excellent interpersonal and customer service skills.

· Attention to detail

· Working understanding of human resource principles, practices, and procedures.

· Excellent time management skills with a proven ability to meet deadlines.

· Ability to function well in a high paced environment.

MATHEMATICAL SKILLS

Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute ratio, and percent.

COMPUTER SKILLS

Proficient with Microsoft office suite or related software. Proficient with Quickbooks.

PHYSICAL DEMANDS

Prolonged periods of sitting at a desk and working on a computer. Must be able to lift up to 25 pounds at a time.

While performing the duties of this job, the employee is occasionally exposed to moving mechanical parts. The noise level in the work environment is usually moderate.

Job Type: Full-time

Pay: $28.85 - $31.25 per hour
