ATCO STRUCTURES AND LOGISTICS (USA) INC. (“ASL-USA”) is seeking a Fleet Coordinator for our Office in Salt Lake City, UT. This combined role requires expertise in both fleet management and contract administration. The ideal candidate will ensure the efficient administration of sales contracts and fleet operations, from bid preparation to unit deployment, repairs, and contract management.
This role offers a dynamic opportunity to work across both fleet management and contract administration, contributing to the efficient and effective operations of ATCO Structures and Logistics (USA) Inc.
KEY ACCOUNTABILITIES/RESPONSIBILITIES
Fleet Management
- Maintain up-to-date and accurate fleet inventory, including unit condition reports, repair and maintenance records, floor plans/specifications, and costing information.
- Ensure compliance with state transportation equipment requirements by filing and preparing applications and renewals as necessary (e.g., State of Colorado Special Mobile Machinery (SMM)).
- Coordinate fleet deployment by scheduling activities between internal teams and external vendors, ensuring transportation and logistics records are properly maintained.
- Oversee work order administration, including cost reporting, purchase order generation, and timely internal communications.
- Monitor and record unit repair work, working with the Yard Manager to estimate costs for fleet repairs and collaborating with external vendors as necessary.
- Conduct fleet return inspections and ensure accurate records are documented and communicated to the appropriate team members.
- Regularly liaise with Sales teams to ensure customer commitments are met, maintained, and communicated in a timely manner.
- Maintain and procure contracts for all fleet storage yards across the US.
Contract Administration
- Prepare pre-bid documentation and facilitate bid-day operations.
- Process contracts, amendments, addendums, and change orders in accordance with company policies and procedures.
- Maintain accurate records of all contractual agreements and ensure timely dissemination of contract information to and from clients, including bonds and insurance documents.
- Coordinate with internal teams and external partners to resolve contract-related issues and ensure compliance with legal and business requirements.
- Monitor progress and schedules to ensure contractual commitments are met and clients are informed.
- Review contract documentation for completeness and accuracy to ensure acceptable products and services are provided to customers.
- Manage the contract renewal process and maintain a contract renewal database.
- Assist with routine administrative work related to contracts and fleet management.
REQUIRED QUALIFICATIONS/EDUCATION/WORK EXPERIENCE
- Minimum of 2 years of experience in dispatch or fleet coordination, with at least 3 years of administrative, business, or technical experience, preferably in a construction or modular industry.
- Previous experience in contract administration is highly desirable.
- Exceptional time management, multitasking, and organizational skills.
- Excellent communication and interpersonal skills with the ability to maintain strong relationships.
- Proficiency in MS Office Suite, with intermediate skills in Microsoft Excel; knowledge of SharePoint, Salesforce, and/or Oracle ERP systems is a plus.
- Strong analytical and problem-solving skills, with the ability to think critically and independently.
- Ability to work independently as well as collaborate across multiple teams.
- High attention to detail and process-oriented approach.

- This position will need to conduct a monthly inventory of the fleet in the yard. This work environment involves moderate exposure to unusual elements, such as extreme temperatures, dirt, dust, fumes, unpleasant odors, and/or loud noises
- Additionally, in the yard environment, this position will involve some exposure to hazards or physical risks, which will require the following basic safety precautions and the ability to wear assigned and appropriate Personal Protection Equipment (PPE).
