The Support Services Coordinator supports the day-to-day operations of the training center by managing equipment shipments, coordinating travel and facility needs, and assisting with new hire logistics. This role plays a key part in ensuring a smooth, organized experience for employees and visitors by handling operational tasks with consistency and attention to detail. This is a onsite position.
USD $25.00/Hr.
- Coordinate the shipment of technology, equipment, and materials to new hires prior to their start date
- Track onboarding logistics using a master checklist to ensure all required items are completed before new hire start date.
- Book and manage travel arrangements for new hires attending in-person training, including flights, hotel accommodations, and ground transportation
- Monitor travel schedules and handle last-minute changes or cancellations, ensuring a smooth experience
- Serve as the primary point of contact for new hires regarding travel and logistics
- Submit tickets for technology setup, system access, and workspace or facility needs
- Confirm new hire start dates, shipping addresses, and travel preferences
- Maintain inventory of supplies and reorder items as needed
- Partner with internal teams to ensure all equipment is prepared and shipped on time
- Schedule and track shipments, resolve delivery issues, and confirm receipt with recipients
- Order and coordinate catering for in-person training sessions, accounting for dietary restrictions
- Support on-site training events by preparing materials, setting up rooms, and welcoming new hires
- Assist with vendor meetings, internal tours, and events held at the training center
- Send pre-arrival communications with onboarding, travel, and logistics details
- Identify recurring issues or inefficiencies in the process and recommend solutions
- Maintain documentation and trackers related to onboarding logistics and travel coordination
- High school diploma or equivalent required; associate’s or bachelor’s degree preferred
- 2 years of experience in logistics, operations coordination, administrative support, or a similar role
- Strong organizational and time management skills with the ability to manage multiple priorities simultaneously
- Experience coordinating travel, shipments, or event logistics preferred
- Proficient in Microsoft Office Suite (especially Excel, Outlook) and comfortable learning internal systems or tools
- Excellent written and verbal communication skills
- High attention to detail and ability to follow through on tasks with minimal supervision
- Ability to troubleshoot and adapt quickly to last-minute changes or issues
- Professional, service-oriented attitude with a focus on delivering a smooth experience for others
- Comfortable working both independently and in collaboration with internal departments (e.g., IT, Facilities, Training)
- Ability to lift and carry up to 35 lbs. and must be able to stand for long periods of time in automotive shop environments
