About the Role:
We are seeking a highly organized, detail-oriented, and proactive Administrative Assistant to provide direct support to the CEO and Director of Analysis. This role requires exceptional organizational skills, strong communication abilities, and an interest in the defense industry, geopolitics, and geospatial intelligence (GEOINT). The ideal candidate is a self-starter who can think outside the box to solve problems efficiently while handling sensitive information with discretion.
This position is primarily in-office, with some flexibility for remote work.
The candidate will be required to attend government meetings with executive leadership to assist with note-taking and tracking action items. Additionally, you may be requested to attend vendor meetings without leadership to record important details and ensure follow-up actions are documented.
This is a three-month 1099 contract, with the possibility of extension or transition to a permanent role based on performance and business needs.
Responsibilities:
- Attend daily meetings with the CEO and Director of Analysis, tracking key action items and ensuring timely follow-ups.
- Manage and maintain executive schedules, including calendar coordination and appointment setting.
- Draft, edit, and proofread technical documents, reports, and emails with a high degree of accuracy.
- Attend government meetings with executive leadership to assist with note-taking and action item tracking.
- Attend vendor meetings independently to document key discussion points and ensure follow-ups are completed.
- Ensure confidentiality and security of sensitive information; must sign an NDA upon hire.
- Support document management, ensuring compliance with internal standards.
- Conduct research and compile reports relevant to defense, intelligence, geospatial intelligence (GEOINT), and geopolitical issues.
- Think critically and provide creative solutions to administrative and operational challenges.
- Handle clerical tasks, including database work and file organization.
- Run occasional errands such as mail pickup and administrative support tasks.
Qualifications:
- Veterans are highly encouraged to apply.
- Political Science and Geospatial majors and graduates are encouraged to apply, especially those with an interest in defense, intelligence, and government affairs.
- Interest in imagery intelligence (IMINT), geospatial intelligence (GEOINT), and applications is preferred but not required.
- Strong attention to detail and the ability to focus for extended periods without losing accuracy.
- Experience in executive support, administrative assistance, or a related field.
- Exceptional writing and proofreading skills, with the ability to edit technical documents.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and database management.
- Understanding of government contracts is a plus.
- Ability to handle multiple tasks efficiently and independently.
- Professionalism, discretion, and strong problem-solving skills.
- Interest in the defense industry, intelligence, and/or geopolitics is preferred.
