Job Summary:
The Medical Scheduler is responsible for managing patient appointments, coordinating provider schedules, and ensuring efficient patient flow within the practice. This role requires excellent communication skills, attention to detail, and the ability to multitask in a fast-paced medical environment. The ideal candidate will have experience in medical scheduling and a strong understanding of healthcare operations.
Key Responsibilities:
- Schedule, reschedule, and confirm patient appointments across multiple providers and locations.
- Manage incoming calls and patient inquiries related to appointments, procedures, and provider availability.
- Coordinate referrals and authorizations as needed.
- Verify patient insurance information and ensure necessary pre-authorizations are in place.
- Maintain accurate and up-to-date patient scheduling records in the electronic health record (EHR) system.
- Collaborate with providers and clinical staff to optimize scheduling and minimize wait times.
- Handle appointment cancellations and follow-up scheduling as required.
- Provide exceptional customer service, ensuring a positive patient experience.
- Assist with administrative tasks related to scheduling, documentation, and patient communication.
- Adhere to HIPAA regulations and maintain patient confidentiality at all times.
Qualifications & Skills:
- High school diploma or equivalent required; associate’s degree or medical office certification preferred.
- Previous experience in medical scheduling, healthcare administration, or a related field is strongly preferred (2 years experience).
- Proficiency with electronic health record (EHR) systems (experience with Dr. Chrono)
- Strong organizational and multitasking skills with attention to detail.
- Excellent verbal and written communication skills.
- Ability to work effectively in a team environment and collaborate with providers and staff.
- Knowledge of medical terminology, insurance verification, and referral processes preferred.
- Customer service-oriented mindset with the ability to handle patient concerns professionally.
