Purpose of Job
The External Relations Coordinator works closely with the Sheriff to carry out the agenda in multiple areas: Effective Communication, Liaison with external parties; Reporting & Documentation by obtaining resources by identifying grant opportunities and preparing applications; Overseeing Accreditation; Event & Meeting coordination by supporting the Sheriff’s outreach to the community; Networking, Strategic Partnerships, and Performing additional tasks as assigned.
Job Related Requirements
Work Schedule: 8:00 AM - 5:00 PM Monday-Friday with occasional after hours required.
May be required to work on religious holidays.
Regular and predictable attendance is required.
Must work cooperatively with others.
When requirements include vehicle operation, responsible for the safety, readiness and operation of the vehicle and must abide by ACC's safe driving policy.
Minimum Training & Experience Required to Perform Essential Job Functions
Bachelor’s Degree with major course work in communications, business, sociology, grant writing or a related field with 3 years of experience in communications, public relations, research, administration, or grant writing or closely related fields; or any equivalent combination of education, training, and experience which provides the requisite knowledge, skills, and abilities for this job.
Two years supervisory experience required.
Must possess a valid driver’s license.
Essential Duties, Responsibilities
The External Relations Coordinator has the following responsibilities, but generally, this position involves overseeing relationships and communication between the Sheriff’s Office and external parties, including clients, vendors, partners, contractors, or other stakeholders. These are not to be construed as exclusive or all-inclusive. Below are some of the External Relations Coordinator job duties:
Supervisory - Supervises and evaluates assigned staff, handles all employee concerns, directing work assignments, counseling and disciplining employees when necessary, and completing employee performance appraisals.
Accreditation – Responsible for overseeing accreditation. Serves as the Sheriff’s liaison to all accreditation, certification of organizations, and provides accreditation information to the public.
Grant Management – Reporting and documentation by obtaining resources by identifying grant opportunities and preparing applications for the Sheriff’s Office.
Effective Communications - Responsible for developing and disseminating communication strategies, with clear and transparent communication with external audiences, including press releases, newsletters, social media content, and event announcements.
External Marketing and Public Relations – Assist to promote the Sheriff’s Office relationship with key external partners through various channels, such as press releases, social media, or joint marketing initiatives. Manages timelines, schedules, and resources for projects that involve external parties, ensuring that all are aligned with project goals and deadlines.
Reporting and Documentation - Provide regular updates to the Sheriff & Command Staff about the status of external collaborations, projects, or partnerships. This person will also keep accurate records of meetings, communications, compile and analyze data related to the job and the external performance, delivering insights, and recommendations for improvement.
Advocacy and Compliance - Ensuring that external communications and interactions comply with relevant laws, regulations, and industry standards, helping the organization avoid legal pitfalls in its external relationships. External Relations Coordinator will work to advocate on behalf of the Sheriff’s Office for addressing community needs within the Outreach and Community relations.
Reputation Management - Assist to mitigate risks to the Sheriff’s Office reputation, ensuring a consistent and a positive public image across all external platforms. This role is essential for monitoring public perception, responding to inquiries, and managing crises when necessary.
Networking and Strategic Partnerships - Actively seek new partnership opportunities and business collaborations that could be beneficial for the Sheriff’s Office. They often attend community events, or networking functions to build relationships with potential partners, clients, or collaborators.
Other duties may be required and assigned.
Knowledge, Skills and Abilities
Knowledge of the principles, practices and procedures of the Athens-Clarke County Unified Government and the operations and functions of the Sheriff’s Office.
Knowledge of legal practices, policies, and procedures as necessary in the completion of daily responsibilities.
Knowledge of applicable laws, ordinances, policies, standards and regulations pertaining to the specific duties and responsibilities of the job.
Knowledge of leading social media platforms.
Skill in negotiation, counseling and interviewing.
Ability to learn about the criminal justice system and reforms.
Ability to effectively communicate and interact with subordinates, management, employees, members of the general public and all other groups involved in the activities of the Unified Government as they relate to the Sheriff’s Office.
Ability to develop and administer policies, procedures, plans and activities and to monitor performance of subordinates against measured established goals.
Ability to develop and implement long-term goals for the department in order to promote effectiveness and efficiency.
Ability to assemble information and make written reports and documents in a concise, clear and effective manner.
Ability to use independent judgment and discretion in managing subordinates including the handling of emergency situations, determining and deciding upon procedures to be implemented, setting priorities, maintaining standards, and resolving problems.
Ability to comprehend, interpret, and apply regulations, procedures, and related information.
Ability to perform mathematical calculations.
Ability to read, understand and interpret financial reports, case law, legal handbooks, medical reports, law enforcement reports and records and related materials.
Ability to communicate effectively, both orally and in writing.
Ability to use standard word processing and/or database management software programs in performing administrative duties.

PHYSICAL REQUIREMENTS: Must be physically able to operate a variety of machinery and equipment including standard office equipment, computer terminals, surveillance equipment and audiovisual equipment. Must be able to use body members to work, move or carry objects or materials. This position requires: walking, standing, bending, stooping, pushing, pulling, lifting, fingering, grasping, feeling, seeing, talking, hearing, and repetitive motions. Must be able to exert up to 10 pounds of force occasionally. Physical demand requirements are at levels of those for sedentary work.

Requires the ability to prepare legal motions and briefs, indictments, plea agreements, civil forfeiture complaints, evidence charts, legal memoranda, discovery and sentence materials, legal opinions, court calendars and other documents using prescribed formats and conforming to all rules of punctuation, grammar, diction, and style. Requires the ability to speak to groups of people with poise, voice control, and confidence.
INTELLIGENCE: Requires the ability to learn and understand complex principles and techniques; to acquire and be able to expound on knowledge of topics related to primary occupation; and to make independent judgment in the absence of management.
VERBAL APTITUDE: Requires the ability to record and deliver information, to explain procedures, and to follow oral and written instructions. Must be able to communicate effectively and efficiently in a variety of administrative, technical or professional languages including medical, law enforcement, and legal and accounting terminology.
NUMERICAL APTITUDE: Requires the ability to utilize mathematical formulas; add and subtract totals; multiply and divide; utilize and determine percentages and decimals; compute discount, interest, etc; perform statistical calculations and interpret graphs.
FORM/SPATIAL APTITUDE: Requires the ability to inspect items for proper length, width, and shape, visually with office equipment.
MOTOR COORDINATION: Requires the ability to coordinate hands, fingers, and eyes accurately in using computers, office equipment and surveillance equipment. Requires the ability to use the keyboard, lift, bend, push, and pull objects or materials using body parts as the position necessitates.
MANUAL DEXTERITY: Requires the ability to handle a variety of items such as computers and office equipment. Must have the ability to use one hand for twisting or turning motion while coordinating other hand with different activities. Must have minimal levels of eye/hand/foot coordination.
COLOR DISCRIMINATION: Requires the ability to differentiate between colors and shades of color.
INTERPERSONAL TEMPERAMENT: Requires the ability to deal with people beyond giving and receiving instructions. Must be adaptable to performing under considerable stress routinely.
