Position Summary:
The Executive Assistant to the CEO will provide high-level administrative support to the Chief Executive Officer of our cardiology practice. This role demands a dynamic individual who excels in executive support and has a solid background in property management. The Executive Assistant will ensure the CEO's office operates smoothly and efficiently.
Key Responsibilities:
Executive Support:
- Manage the CEO’s calendar, schedule meetings, and coordinate appointments to optimize time management and ensure priorities are addressed.
- Prepare and edit correspondence, reports, presentations, and other documents as required by the CEO.
- Coordinate and facilitate internal and external meetings, including preparing agendas, taking minutes, and following up on action items.
- Handle confidential information with discretion and professionalism.
Communication and Liaison:
- Serve as a primary point of contact between the CEO and internal/external stakeholders, including staff, patients, vendors, and business partners.
- Manage and prioritize incoming communication, including emails, phone calls, and mail, ensuring timely responses and appropriate follow-ups.
- Represent the CEO in meetings and interactions as needed, maintaining a high level of professionalism and organizational knowledge.
Commercial Real Estate Property Management:
- Oversee the management of commercial real estate properties, including leasing, maintenance, and tenant relations.
- Coordinate with property management teams, vendors, and contractors to ensure property upkeep and address any issues promptly.
- Monitor property performance, including financial reports and occupancy rates, and report findings to the CEO.
- Handle lease agreements, renewals, and negotiations, ensuring compliance with contractual obligations and optimizing property utilization.
Administrative Tasks:
- Organize and maintain electronic and physical filing systems, ensuring accuracy and confidentiality of sensitive information.
- Manage travel arrangements, including booking flights, accommodations, and transportation for the CEO.
- Process expense reports, purchase orders, and invoices in accordance with company policies.
- Coordinate special events, meetings, and corporate functions as directed by the CEO.
Strategic and Operational Support:
- Assist in the development and execution of strategic initiatives and operational plans.
- Conduct research and prepare briefing materials for the CEO on various topics, including industry trends and competitive analysis.
- Support the CEO in developing and implementing organizational policies and procedures.
Qualifications:
- Education: Bachelor’s degree in Business Administration, Management, Real Estate, or a related field.
- Experience: Minimum of 5-10 years of experience as an executive assistant supporting executives in a healthcare setting also with strong property management experience
Salary : $40,000 - $50,000
