Overview:
The Office Manager is responsible for overseeing the daily operations of a primary healthcare clinic, ensuring efficient workflow, compliance with regulations, and exceptional patient care. This position combines operational leadership with administrative expertise to manage staff, optimize processes, and maintain a high standard of service delivery.

Key Responsibilities:

Administrative and Operational Management:

  • Oversee the daily operations of the clinic to ensure smooth and efficient workflow.
  • Develop, implement, and maintain clinic policies and procedures in alignment with HIPAA regulations and organizational standards.
  • Monitor and maintain inventory of medical supplies and equipment to ensure availability and cost-effectiveness.
  • Ensure adherence to quality assurance standards and participate in quality improvement initiatives.
  • Maintain accurate and up-to-date patient records using electronic health record (EHR) systems such as Dr. Chrono.
  • Manage clinic budgets, expenses, and operational reports for senior leadership.

Staff Supervision and Development:

  • Manage and supervise clinic staff, including interviewing, training, mentoring, and conducting performance evaluations.
  • Create and manage staff schedules to ensure adequate coverage and optimal patient flow.
  • Provide leadership and support to motivate and inspire the clinic team.

Patient Care and Coordination:

  • Collaborate with healthcare providers to optimize patient care and outcomes.
  • Coordinate patient scheduling, ensuring timely delivery of healthcare services.
  • Address patient inquiries, complaints, and concerns with professionalism and empathy.
  • Actively monitor and improve patient satisfaction metrics.

Compliance and Safety:

  • Ensure clinic compliance with federal, state, and local healthcare regulations, including HIPAA and OSHA standards.
  • Maintain strict confidentiality and security of patient information.
  • Implement infection control and workplace safety protocols in alignment with industry best practices.

Technology and Systems Management:

  • Proficiently manage practice management software (e.g., Dr. Chrono) for scheduling, billing, and record-keeping.
  • Troubleshoot and resolve EHR system-related issues, liaising with technical support as needed.

Collaboration and Communication:

  • Act as a liaison between administrative staff, clinical staff, and senior leadership to ensure alignment on goals and initiatives.
  • Facilitate team meetings to promote open communication, share updates, and resolve issues.

Experience and Qualifications:

  • Bachelor’s degree in Healthcare Administration, Business, or a related field (preferred).
  • Minimum of 3 years of experience in clinic or medical office management.
  • Strong knowledge of managed care principles and practices..
  • Proficient in practice management and EHR systems (e.g., Dr. Chrono).
  • Excellent understanding of HIPAA and OSHA regulations with a proven ability to ensure compliance.

  • Strong organizational skills with high attention to detail and accuracy.
  • Excellent communication and interpersonal skills to interact effectively with patients, staff, and healthcare providers.
