Overview:
The Office Manager is responsible for overseeing the daily operations of a primary healthcare clinic, ensuring efficient workflow, compliance with regulations, and exceptional patient care. This position combines operational leadership with administrative expertise to manage staff, optimize processes, and maintain a high standard of service delivery.
Key Responsibilities:
Administrative and Operational Management:
- Oversee the daily operations of the clinic to ensure smooth and efficient workflow.
- Develop, implement, and maintain clinic policies and procedures in alignment with HIPAA regulations and organizational standards.
- Monitor and maintain inventory of medical supplies and equipment to ensure availability and cost-effectiveness.
- Ensure adherence to quality assurance standards and participate in quality improvement initiatives.
- Maintain accurate and up-to-date patient records using electronic health record (EHR) systems such as Dr. Chrono.
- Manage clinic budgets, expenses, and operational reports for senior leadership.
Staff Supervision and Development:
- Manage and supervise clinic staff, including interviewing, training, mentoring, and conducting performance evaluations.
- Create and manage staff schedules to ensure adequate coverage and optimal patient flow.
- Provide leadership and support to motivate and inspire the clinic team.
Patient Care and Coordination:
- Collaborate with healthcare providers to optimize patient care and outcomes.
- Coordinate patient scheduling, ensuring timely delivery of healthcare services.
- Address patient inquiries, complaints, and concerns with professionalism and empathy.
- Actively monitor and improve patient satisfaction metrics.
Compliance and Safety:
- Ensure clinic compliance with federal, state, and local healthcare regulations, including HIPAA and OSHA standards.
- Maintain strict confidentiality and security of patient information.
- Implement infection control and workplace safety protocols in alignment with industry best practices.
Technology and Systems Management:
- Proficiently manage practice management software (e.g., Dr. Chrono) for scheduling, billing, and record-keeping.
- Troubleshoot and resolve EHR system-related issues, liaising with technical support as needed.
Collaboration and Communication:
- Act as a liaison between administrative staff, clinical staff, and senior leadership to ensure alignment on goals and initiatives.
- Facilitate team meetings to promote open communication, share updates, and resolve issues.
Experience and Qualifications:
- Bachelor’s degree in Healthcare Administration, Business, or a related field (preferred).
- Minimum of 3 years of experience in clinic or medical office management.
- Strong knowledge of managed care principles and practices..
- Proficient in practice management and EHR systems (e.g., Dr. Chrono).
- Excellent understanding of HIPAA and OSHA regulations with a proven ability to ensure compliance.
