Full Time with a 90-day introductory period                Monday through Friday – 8 : 30 a.m. – 5 : 00 p.m.

Compensation - $21.00 / hour starting                            Location – Jacksonville, Florida

Job Summary

We are seeking a detail oriented, reliable, organized candidate that would be responsible for performing various clerical tasks to support our offices. Candidate will p rovide administrative, secretarial, and clerical support to the Jacksonville office and remotely aid the Pittsburgh office administrative services manager and business assistant to maintain efficient office environments. There will be consistent job responsibilities associated with this position; however, the individual must be willing to adjust to unexpected tasks on an as-needed basis. We are looking for an individual that is both flexible and task oriented.

Responsibilities

  • Answers and directs incoming calls on a multi-line phone system in a professional and friendly manner
  • Opens, sorts, and distributes incoming mail and prepares outgoing mail (envelopes, packages, etc.)
  • Orders supplies
  • Assists in filing duties of sensitive documentation
  • Operates office equipment - multifunction copier / printer / scanner
  • Proofreads and edits technical reports, correspondence, and proposals
  • Processes, records, and verifies daily deposits
  • Enters proposal information into our project-based software program, Deltek Vantagepoint
  • Assists with the processing of monthly invoices to clients
  • Assists with other multi-company accounts payable and accounts receivable functions as needed
  • Handles sensitive and / or confidential documents and information
  • Performs other office duties as assigned

  • Team player interested in the success of the company
  • Courteous telephone etiquette with clear and articulate communication
  • Strong attention to detail, as well as strength in proofreading
  • Ability to multi-task and prioritize
  • Approachable with a positive attitude
  • Reliable self-starter with a strong work ethic
  • Proficient with the Microsoft Office Suite and ready to learn other software
  • Knowledge of Deltek Vantagepoint a plus
  • Associate’s degree 3 years of experience preferred
  • Salary : $21
