Our main practice is located in Portsmouth, NH with additional offices in York, ME and Dover, NH.
Position Summary
We are seeking a detail-oriented and organized professional to join our growing orthopedic specialty group in the New Hampshire Seacoast area as a Diagnostics Scheduler. This long-term employment opportunity offers the chance to work closely with our providers and surgical team to coordinate all aspects of surgical scheduling. Under the guidance of the Operations Manager, you will be responsible for managing surgery schedules, obtaining prior authorizations, coordinating pre-operative requirements, and ensuring a seamless experience for both patients and providers.

Positions reports to: Operations Manager
Internal Relationships: Office Staff, Physicians
External relationships: Patients, Insurance Company Representatives, Hospital and Surgical Center Staff
Position Requirements
Licenses or Certificates:
Education, vocational training, and experience:
- High School diploma or equivalent
- Minimum 2 years of experience in a medical administrative support role.
- Intermediate to advanced computer and data entry skills
- Previous experience with surgical scheduling for an orthopedic office is a plus
Skills and Abilities
- Maintain a professional attitude and appearance with excellent telephone communication skills.
- Proficient in Microsoft Word and Excel at an intermediate level.
- Highly organized with the ability to prioritize and multitask effectively.
- Prior experience with ModMed is advantageous.
- Must be highly motivated to meet performance goals set by management.
- Proficiency in medical terminology
- Excellent organizational abilities and strong interpersonal skills
- Experience in customer service and handling multi-line phone systems
- Competency in using computers and standard office equipment.
Job Responsibilities
The Diagnostics Scheduler’s tasks include, but are not limited to, the following:
- Coordinate and manage diagnostic procedure scheduling, ensuring accuracy and efficiency in appointment assignments.
- Obtain prior authorizations and verify insurance coverage for diagnostic tests, including MRI, CT scans, X-rays, and ultrasound-guided injections.
- Communicate with technologists, physicians, and referring offices to confirm scheduling details and ensure adherence to proper protocols.
- Provide patients with clear pre-procedure instructions and address any questions regarding their scheduled diagnostic tests.
- Monitor and troubleshoot scheduling conflicts while maintaining efficient workflow and patient access to diagnostic services.
- Maintain accurate records and documentation in the electronic medical records (EMR) system.
- Deliver excellent customer service, acting as a liaison between patients, providers, and imaging facilities to ensure a seamless scheduling experience.

Pay: $20.00 - $23.00 per hour
