Job Summary :
We are seeking a highly organized and resourceful Executive Assistant to support the Executive leadership team and other senior staff of our financial services company. This hybrid role requires 4 days in the office, with flexibility. The ideal candidate will possess excellent communication and interpersonal skills, strong attention to detail, and the ability to thrive in a fast-paced, professional environment.
Duties / Responsibilities :
- Calendar Management : Efficiently coordinate and manage schedules for the COO, CHRO, and CFO, ensuring all meetings, appointments, and deadlines are prioritized and updated as needed. Schedules and attends meetings on behalf of executives, taking notes and recording minutes.
- Office Coordination : Serve as the central point of contact for day-to-day office operations, ensuring smooth workflows and handling logistical needs. Performs office tasks including maintaining records, ordering and restocking supplies, and performing basic bookkeeping.
- Event Planning : Plan and execute corporate events, meetings, and team-building activities, including venue selection, agenda preparation, and attendee coordination.
- Company Communications : Draft, edit, and distribute internal and external communications, ensuring consistent and professional messaging across all channels.
- Administrative Tasks : Prepare reports, presentations, and correspondence using Microsoft Word, Excel, and PowerPoint. Performs clerical and administrative tasks including drafting letters, memos, invoices, reports, and other documents for senior staff. Receives incoming communication or memos on behalf of senior staff, reviews content, determines importance, and summarizes and / or distributes contents to appropriate staff.
- Project Assistance : Provide ad hoc support for special projects, including conducting research, organizing data, and preparing executive-level deliverables.
- Interpersonal Collaboration : Act as a liaison between executives, internal teams, and external stakeholders, ensuring effective communication and relationship management.
- Travel Coordination : Arranges travel and accommodation for executives.
- Performs additional duties as assigned by executives.
- Performs other related duties as assigned.
