The Admin Assistant ensures the efficient operation and organization of the front office while supporting the Human Resource Department. Decisions are made within established guidelines and under available supervision.
Responsibilities : Reception :
- Ensure the switchboard is open and operating promptly.
- Answer telephones and direct calls to the appropriate associate. Will transfer a caller to an associate’s voice mailbox when the associate is unavailable.
- Take and retrieve messages for various personnel.
- Ensure each visitor complies with building security and GMP policies and procedures and is appropriately “signed in” using our visitor logbook.
- Provide callers with information such as company address, directions to the company location, company fax numbers, company website, and other related information.
- Ensure business phones are for business use by referring personal calls to be taken on personal phones outside of working hours unless an

Act as Safety Committee secretary, keeping all Safety Committee correspondence organized and available for review.Post safety minutes and action log monthly.Send minutes and action logs to safety committee members.Email reminders of safety committee meetings and safety committee area-specific audits.Coordinates safety committee area-specific audits, participates in audits, and collects information from audits to put into action logs.Keep HR department filing current.Type miscellaneous correspondence, policies, etc., as requested.
Requirements :
Bilingual English / Spanish preferred.Education : AA Degree required. Minimum 3 years’ experience and HS Diploma may substitute for AA degree.Experience : Three years previous office experience, including multi-line phones, is required. Experience with human resource departments and safety committees is preferred.Ability to read and write English and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports.Ability to add, subtract, multiply, and divide in all units of measure.Washington State Driver’s License
