Activities Assistant

Reports To: Activities Director/Events and Adventures Director

Position Summary:

This person is responsible for assisting in the direction of all resident activities. Duties include, but are not limited to, the following:

  • As directed by the Activities Director/Events and Adventures Director, assists in the planning, directing, coordinating and managing of events and activity services to promote rich living experiences for residents living within the community, promoting the Artēgan “Celebrating the Art of Life” philosophy. o Events and Activities shall promote and address the outcomes of “Successful Aging” philosophy to include physical and mental stimulation, spiritual needs, social engagement and life-long learning.
  • Assures compliance with regulations and reports any concerns immediately to the Activities Director/Events and

Adventures Director.

  • Assists with Member training as instructed by the Activities Director/Events and Adventures Director.
  • Routinely analyzes effectiveness and customer satisfaction of events and activities provided and reports findings to the Activities Director/Events and Adventures Director.
  • Calls in to and participates in Activity Department conference calls and attends staff training/meetings.
  • Supervising and providing job assignments to the Activities Assistant, if applicable.
  • Assuring that all activity programs design assistance are in accordance with resident assessments, the interests, physical, mental and psychological well being of each resident.
  • Conducting and overseeing resident’s activities and exercise programs (individual and group activities) including pool exercises.
  • Demonstrating exercises and weight activities for residents.
  • Assuring that all activities programs are conducted in accordance with federal and state regulations and community standards, policies and procedures.
  • Providing on-going evaluation of individual and group program to determine effectiveness and effect program changes as necessary.
  • Assisting in interviewing, evaluating and disciplining of adult day care Members and Members assisting in the

Activities Department, if applicable.

  • Establishing schedules for adult day care assistants, if requested to do so by the Activities Director/Events and

Adventures Director.

Activities Assistant – Comprehensive Job Description

  • Ensuring adult day care programs are conducted in accordance with federal and state regulations and community standards, policies and procedures, if applicable.
  • Assisting with orienting and supervising community services volunteers (such as church groups who organize shows/activities for local assisted living communities).
  • Assisting to maintain an inventory system for department supplies as requested by the Activities Director/Events and Adventures Director.
  • Maintaining resident records in compliance with regulatory requirements and community standards/policies.
  • Prepare and submit reports as directed within established timelines.
  • Assisting with preparing a monthly calendar of activities and day care events as requested by the Activities

Director/Events and Adventures Director.

  • Assisting with arranging for outside community resident trips as requested by the Activities Director/Events and

Adventures Director.

  • Assisting in the production of a periodic newsletter.
  • Assisting residents with personal needs such as toileting, simple grooming, responding to correspondence, etc.
  • Conduct initial training for adult day care assistants, if applicable and request by the Activities Director/Events and Adventures Director.
  • Become familiar with fire and disaster programs and be willing to assist in the evacuation of residents in case of an emergency.
  • Act as a resource person to staff and community volunteers/visitors.
  • Attend meetings as scheduled.
  • Other duties as assigned by the Activities Director/Events and Adventures Director.

All duties will be performed in accordance with established community standards, policies and procedures, resident service objectives, and resident rights policies and objectives.

Essential Job Functions:

Listed below is an outline of the essential job function requirements. All newly hired Activity Assistant’s are expected to be able to meet or exceed the essential job function requirements.

  • Be a team player and behave in a professional manner at all times while in the course of employment and/or on the community premises.
  • Avoid sharing personal information with residents and/or their family members.
  • Physically able to lift up to 25 pounds on a frequent basis, 50 pounds on an occasional basis and 100 pounds on a rare basis.
  • Physically able to carry up to 10 pounds on a frequent basis and up to 25 pounds on a rare basis for up to 100 yards.
  • Physically able to stand and walk up to 95% of the workday.
  • Physically able to push/pull the supply/meal cart and transport residents in wheelchairs occasionally throughout the workday.
  • Physically able to climb stairs and climb onto and off of a three-step stepstool.
  • Physically able to twist, bend, stoop, crouch and kneel occasionally to frequently throughout the workday.
  • Physically able to handle, grasp and reach occasionally to frequently throughout the workday.
  • Able to hear and speak as necessary to communicate with residents, coworkers, visitors and guests.
  • Able to see as necessary to do their job safely.
  • Able to smell as necessary to discern resident’s needs and/or building emergencies.
  • Be honest, trustworthy, patient, dependable, and courteous.

  • Ability to work well with others and be able to follow instructions (oral and written) accurately, timely and efficiently.
  • Maintain a professional appearance while on-site and/or in the course of employment.
  • Be drug and alcohol free and have a clean police record. May be subject to random or specified drug and alcohol screening (see Member Handbook).
  • Able to work with residents in the water in a swimming pool setting.
  • Be organized and goal oriented.
  • All Members are required to be awake and alert during their entire work shift. Sleeping on the job site is unacceptable, even in Community break rooms.
  • Members may be paid for meal breaks when they are required to be on-call, such as night shift or Members accompanying residents on outings. Members who are paid for lunch periods due to being on-call during lunch and breaks may not leave the Community during paid break/meal times. If this paid meal break occurs during a resident outing, the Member must stay with the residents during the paid meal break.

Duties and Responsibilities:

Listed below is an outline of the duties and responsibilities that the Member may be required to perform. This listing of expectations is not to be construed as an all-inclusive list and in no way states or implies that these are the only duties the Member will be required to perform.

➢ Assist residents as needed in a patient and courteous manner.
➢ Assist with set up before activities and clean up after activities—may include assisting residents to and from activities and in and out of swimming pool.
➢ Practice the dignity and hospitality concepts with residents, resident’s family members or visitors, community representatives and coworkers.
➢ Be well organized and ready for planned activities.
➢ Required to report to the Activities Director/Events and Adventures Director any changes noted in the resident’s condition, or refusal to take their medication.
May not notify and/or consult with the attending physician regarding any changes in a resident’s condition.

Only the Licensed Nurse on Duty will notify and consult with the attending physician regarding any changes in a resident’s condition.

➢ Required to complete resident incident reports per community protocol.
➢ May be asked to schedule and/or conduct tours of the community.

Education and Special Requirements:

▪ The Member must possess at a minimum a high school diploma or equivalent.
▪ Have a background working with elder adults in declining health.
▪ Have at least 1 year of experience in resident activities in an assisted living, nursing home, residential care environment or like environment.
▪ Have demonstrable leadership skills.
▪ Have a professional appearance and excellent work ethic/work habits.
▪ Have a positive attitude with abundant enthusiasm.
▪ Have the ability to acquire knowledge and understanding of federal and state rules and regulations governing boarding homes, assisted living communities, and associated day care programs.
▪ Have excellent written and oral communication skills (in English), with ability to publicly speak, including the ability to read, write and speak the English language in an understandable manner.
▪ Have a highly organized approach to work
▪ Be willing to work flexible Working Hours in this 24 hour per day, 7 day per week environment.
▪ Have a positive attitude with abundant enthusiasm.
▪ Able to obtain a CDL license.

▪ Able to obtain Home Care Aide Certification/required certification within established timelines.
▪ Possess the ability to identify problems and formulate resolutions.
▪ Be self-motivated and well organized.
▪ Be able to relate positively, tactfully, diplomatically, effectively and appropriately with residents, resident’s family members and friends, community members, community personnel and contractors.
▪ Possess integrity, imagination, initiative and the ability to conduct oneself in an appropriate manner.
▪ Be able to direct, delegate and follow-up on programs and resident involvement.
▪ Have the ability to motivate residents and community personnel to ensure a successful activities program.
▪ Have current documentation of CPR, First Aid, HIV training within 30 days of hire. This is a condition of continued employment.
▪ Have documentation of TB testing in compliance with community standard/policy and State law.
▪ Have required background check with no convictions in violation of applicable state/federal laws and no disqualifying events.
▪ Be willing to work as a team member with other staff and handle residents appropriately on whatever maturity or cognition level the resident is currently functioning.
▪ Understand and work at all times with Standard Precautions and prevent the spread of infections and disease.
▪ Become familiar and follow community standards, policies and procedures.
▪ Able to work independently, make appropriate decisions in emergencies and safeguard resident safety and wellbeing while on duty.
▪ May be required to work weekends, holidays and after-hours as directed by the Activities Director/Events and

Adventures Director.
▪ May be required to work other shifts than the ones assigned at the time of hire, including filling in for activities personnel that may be absent from work as assigned.
▪ Attend and participate in routinely scheduled Continued Education training programs, mandatory meetings and in-services as directed.
▪ The Member may be subject to falls, exposure to odors, etc. including the potential exposure to HIV and

Hepatitis B viruses.
▪ The Member may be exposed to resident's domestic pets (dogs, cats, birds, etc.).
▪ May be required to have a negative COVID-19 test on file.
