POSITION OVERVIEW

The Assistant to the Chief Executive Officer (CEO) will work closely with the Chief of Staff and Associate Vice President of Operations (AVP) to provide efficient administrative support to ATWs CEO and her personal brand.  In collaboration with the AVP, the Assistant will coordinate the CEO’s calendar to schedule appointments, make travel arrangements, run errands, and provide administrative support to ensure the CEO’s daily tasks run smoothly and efficiently. Position requires strong organizational skills and a self-starter who can work well in a fast-paced environment to meet the day-to-day support needs of a busy executive.


Key Responsibilities

  • Schedule appointments across multiple platforms, managing conflicts and sending reminders as needed.
  • Maintain and manage all hard copy and digital records for corporate and personal insurance policies, licenses, professional certifications, travel and frequent flier travel profiles.
  • Responsible for digital brand management, encompassing social media and website updates.
  • Ensure certifications, insurance policies, etc. are current and relevant.
  • Create and maintain system for managing all speaking engagements, conferences and other professional networks.
  • Arrange travel including flights, accommodations and ground transportation for business and personal trips.
  • Plan and arrange various appointments, meetings and other events, including logistics, reservations and RSVPs, catering, travel and lodging for guests, etc.
  • Handle occasional errands and deliveries within the local area to support the CEO’s operational and personal needs.
  • Assist the Chief Executive Officer with administrative tasks as requested, including developing and typing reports, memos, letters and other documents.
  • Read and analyze incoming emails, submissions, reports and other correspondence to determine their significance and plan their distribution.
  • Coordinate delivery, service and repair for the CEO as requested.
  • Serve as a liaison with clients, suppliers and other staff.


Qualifications


Education:

  • High school diploma, GED, or equivalent required
  • Bachelor’s degree preferred


Experience, and Licensing Requirements:

  • 2 years’ experience providing administrative support at the executive level
  • Must be able to maintain confidentiality
  • Valid driver’s license with clean driving record
  • Proven ability to manage a flexible schedule
  • Always available, mobile, and open to travel
  • Exemplary planning and time management skills
  • Outstanding verbal and written communications skills
  • Ability to interact with high profile clients and executives
  • Strong sense of responsibility and ability to complete tasks with minimal supervision
  • Proficient with Microsoft Office suite of products, including Outlook, Word, Excel and PowerPoint
  • Impeccable written and oral communication skills
  • Corporate professional standard

 

LOCATION

  • Assistant must reside within the Chicagoland area.
  • Assistant works remotely and up to 15% travel, mostly in-state, may be required.
  • Attendance in the Chicago office may be required for certain company meetings or other tasks at the discretion of the Chief Executive Officer.


Benefits

  • Part-time position 10 – 15 hours per week
  • Starting salary $25-$30 per hour
  • Vacation and sick time

 

WORK ENVIRONMENT

  • Position works remotely; however, position must reside in the Chicagoland area. Attendance in the office may be required for certain company meetings or other tasks at the discretion of the Chief Executive Officer.
  • Occasional work on evenings and weekends as needed
  • Smoke- and drug-free environment
  • Routinely uses standard office equipment such as computers, phones, scanners
