What are the responsibilities and job description for the Executive Assistant position at Aubergine Kitchen?
Executive Assistant to the CEO (Currently Remote – soon to be office based in Utah County)
Location: Utah (Must be local)
We are a fast-growing, high-class fast casual restaurant chain seeking an Executive Assistant who thrives in a high-demand, high-reward environment. This is not your typical EA role. We're looking for a scrappy, sharp, fast-moving problem solver who can juggle priorities, think five steps ahead, and execute projects with speed and precision.
As the right hand to the CEO, you'll be deeply embedded in the inner workings of a company that’s redefining health-focused dining. If you’re resourceful, highly organized, thrive in a fast-paced setting, and can roll with changing priorities, we want to meet you.
This is a hybrid position — a mix of remote work and in-person collaboration. You must be based in Utah and available for regular in-office work, meetings, and local errands as needed.
What You’ll Do- Provide direct executive support to the CEO: manage calendars, travel, emails, and day-to-day coordination.
- Act as a force multiplier: take on projects big and small, from logistics and research to vendor communication and internal coordination.
- Drive results quickly: meet deadlines with limited direction and a “get-it-done” attitude.
- Serve as a gatekeeper and extension of the CEO: manage information flow, prioritize time and resources, and protect the CEO’s focus.
- Handle high-level admin tasks: prep for meetings, take notes, follow-up, and hold others accountable for deliverables.
- Support special projects across departments (marketing, HR, operations) as needed.
- Be available on-site as needed for key meetings, events, or in-person tasks.
- Ultra-organized and adaptable – you love a to-do list, live in Google Calendar, and pivot with ease when things change (because they will).
- Speed demon with accuracy – fast doesn’t mean sloppy. You’re efficient and detail-oriented.
- Proactive communicator – you anticipate needs and communicate clearly, even under pressure.
- Scrappy and resourceful – when you don’t know, you figure it out. You know how to make things happen.
- Discreet and professional – you’ll be trusted with sensitive information and relationships.
- Utah-based – you must be local and willing to work on-site part of the week. This is not a fully remote position.
- 3 years in an Executive Assistant, Chief of Staff, or fast-paced project coordination role.
- Strong tech proficiency: Google Suite, Excel/Sheets, etc.
- Experience supporting C-level executives or entrepreneurs preferred.
- Bonus: Experience in hospitality, restaurant, or high-growth startup environments.
