INTAKE SPECIALIST
REPORTS TO: Housing Programs Director
SUPERVISES: No Staff
Purpose: To provide responsible support to Housing Programs Manager, LIHTC Housing Specialist, PIH/Multi-Family Housing Specialist, Housing Choice Voucher Specialist. To maintain wait lists across all programs of Auburn Housing Authority. Interact with internal (directors, managers, housing specialists), and external customers (tenants, potential tenants, general public, case managers) on a daily basis. Providing outstanding support while maintaining good judgment and confidentiality.
ESSENTIAL TASKS OF THE POSITION
- Provides Support to the Housing Programs Manager, LIHTC Housing Specialist, PIH/Multi-Family Housing Specialist, Housing Choice Voucher specialist. Maintaining All Waitlists (Centralized (Housing Choice Voucher) and Property/Agency) This includes but is not limited to entering all initial applications for assistance, follow-up correspondence, answering inquiries from prospective tenants/clients, and the general public. Updates to all applications
- Maintains accurate wait list files
- Pulls applicants/applications from waitlist as requested by housing specialist
- Return all incomplete applications.
Maintain Returned Application Log
- Maintains Spreadsheet for Tax Credit (LIHTC) Properties Enters information as required
- Processes Applications for Housing Ensures Application is filled out in its entirety If not, application needs to be gone over with tenant, and clarifying memo provided and signed by applicant and reviewer.
- Pre-App Review (Tax Credit) Calculation of Income and Assets as provided on application

SECONDARY POSITION TASKS
- Performs other duties as assigned by the Housing Programs Director and/or Executive Director. Working knowledge of government regulations.

POSITION REQUIREMENTS AND QUALIFICATIONS
- Education Level: High School diploma or G.E.D required.
- Experience in Related Field: Experience in public subsidized housing preferred.
- Ability to maintain confidentiality in all assignments.
- Ability to work cooperatively with all Authority personnel and to relate to and interact with the elderly, lower income persons, and landlords.
- Ability to be flexible and perform work under time pressure.
- Unique Expertise: Possesses or has ability to obtain Certified Occupancy Specialist.
- Ability to maintain confidentiality in all assignments.
- Ability to be flexible and perform work under time pressure.
- Working Conditions: Environmental parameters: Ability to work in an office environment.
- Physical demands: Strength: Ability to lift up to 25 pounds.
- Type: Ability to perform office duties, typing, filing, bending over to low files, reaching high files.
- Ability to exert up to 20 pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull, or otherwise move an object. Work involves sitting most of the time, but may involve standing or walking for brief periods of time.
- Work Schedule: Ability to work 35 hour week/Non-Exempt Position.
- Ability to work additional paid hours on occasion to complete short term projects.

- Notification Required: In the event the Housing Program Specialist resigns, (s) he shall submit the resignation, in writing, at least two weeks’ notice before such resignation shall take effect.
