Job Overview: We are seeking a friendly, organized, and professional Administrative Assistant to join our property management team. As the first point of contact for clients, tenants, and visitors, you will play a vital role in ensuring smooth operations within the office while providing outstanding customer service. The ideal candidate will possess strong communication skills, a high level of professionalism, and the ability to manage a variety of tasks in a fast-paced environment.
Key Responsibilities:
- Greet and welcome clients, tenants, and visitors in a courteous and professional manner.
- Answer phone calls, direct inquiries to appropriate departments, and take messages as needed.
- Maintain a clean, organized, and welcoming front desk area.
- Assist with tenant inquiries related to property management services, including lease information, maintenance requests, and payment inquiries by relaying to appropriate departments.
- Assist Leasing Manager in processing rental applications and lease agreements.
- Assist with administrative tasks such as filing, data entry, and maintaining tenant records.
- Perform other related duties as assigned to support the property management team.
Qualifications:
- High school diploma or equivalent (Associate’s degree or higher preferred).
- Proven experience as a receptionist, front desk representative, or similar role, ideally in property management or real estate.
- Excellent verbal and written communication skills.
- Strong organizational skills with attention to detail and ability to multitask.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Knowledge of property management software (e.g., Yardi, AppFolio) is a plus.
- Ability to maintain professionalism and confidentiality in all aspects of the role.
- Ability to handle difficult situations with diplomacy and tact.
- Friendly, approachable, and customer-focused attitude.
Working Conditions:
- Full-time position, Monday through Thursday 8:30am-11:30am, 1:00pm-5:00pm and Friday 8:30am-11:30am, 1:00pm-3:00pm.
- Turnkey availability during the month of August.
- Office-based role with a focus on client interaction and administrative duties.
