Summary:
The People Coordinator is a vital role responsible for ensuring the smooth and organized operation of people-focused initiatives within a fast-paced and high-volume environment. Working closely with a tight-knit and collaborative People (HR) team, this position requires exceptional communication skills, energy, and thoughtfulness.
As a central point of support, the People Coordinator plays a key role in enhancing the workplace experience, making it both enjoyable and meaningful for employees. You'll spend your days on the following:
- Serve as the liaison between the Senior People leader and team members, ensuring smooth communication and coordination.
- Act as a liaison between interdepartmental teams, ensuring seamless communication and coordination.
- Monitor and manage the main HR inbox, responding to inquiries and directing messages to appropriate team members.
- Process onboarding paperwork and send relevant documents as needed.
- Support interviewing scheduling and candidate resume screening.
- Organize leave plans and send relevant paperwork.
- Update benefits enrollments as needed.
- Support project timelines by tracking progress, updating schedules, and communicating key milestones to the People team.
- Schedule and organize meetings for teams and external vendors, ensuring efficient use of time and resources.
- Manage employee recognition deposits and budget loads.
- Maintain accurate and up-to-date employee records and documents.
- Prepare detailed meeting agendas and take comprehensive notes to share actionable follow-ups with stakeholders.
- Regularly update team documents, policies, and processes to reflect current practices and ensure accessibility.
- Research and coordinate special projects aligned with organizational goals, presenting findings and recommendations to Senior People leader.
What you need to be successful in this role:
- 1-2 years prior experience in HR coordination, office administration, or project management is preferred.
- Experience using HR systems, project management tools, Jira and Microsoft Office Suite (Word, Excel, PowerPoint).
- Knowledge of HR practices, employee engagement, and event planning is a plus.
- Eagerness to support HR initiatives and contribute to a cohesive and productive team environment.
- Excellent written and verbal communication to act as an effective liaison between HR leadership, staff, and employees.
- Ability to clearly articulate information and provide timely follow-ups.
- Exceptional ability to manage multiple projects, schedules, and priorities with precision.
- Strong attention to detail in maintaining records, preparing documents, and coordinating events.
- Proactive in identifying areas for improvement and proposing solutions.
- Ability to troubleshoot and resolve challenges independently or collaboratively.
- A collaborative approach with a positive and approachable demeanor.
- Trustworthy in handling sensitive employee information and maintaining confidentiality.
