Job Overview:
We are seeking a detail-oriented and proactive Accounting Support Staff member to assist with various financial and administrative duties related to credit card payments, invoicing, auction-related documentation, and general accounting support. The ideal candidate will possess strong organizational skills, a solid understanding of basic accounting practices, and the ability to multitask in a fast-paced environment.
Key Responsibilities:
- Data Management: Assist with the creation, tracking, and management of customer data collection forms submissions related to invoices, payments, and customer requests.
- Credit Card Payment Processing:
- Monitor and process credit card payment emails.
- Charge credit cards once payment due dates have been reached, ensuring accuracy and timeliness.
- Follow up with customers to resolve payment issues.
- Invoice and Shipping Support:
- Mark and pull invoices for shipping, ensuring all relevant documentation is included.
- Send invoices to clients and ensure timely follow-up for outstanding payments.
- Payment Tracking and Reporting:
- Utilize credit card processing software to pull reports and sort credit card payments by auction or client, providing insights for the accounting team.
- Auction Documentation Support:
- Manage auction bonds, permits, and licenses, ensuring all necessary documentation is up-to-date and filed correctly.
- Assist with continuing education requirements for auction-related certifications and licenses.
- Vehicle and Trailer Renewals:
- Track and manage vehicle and trailer renewal processes, including registration and necessary paperwork for company assets.
- Certified Letters:
- Prepare and send certified letters for important notifications related to payments or compliance issues.
- Customer Service Support:
- Answer phones and respond to customer inquiries, assisting with payment-related questions, invoice clarifications, and general support.
- Help field accounting-related questions from both internal and external stakeholders.
Qualifications:
- High School diploma or equivalent required; Associate's degree in Accounting, Finance, or related field preferred.
- 1–2 years of experience in accounting, finance, or administrative support, preferably within a similar industry.
- Strong attention to detail and organizational skills.
- Proficient in using software tools such as Microsoft Office Suite (Excel, Word, Outlook).
- Experience with invoicing, payment processing, and basic accounting practices is highly desirable.
- Strong communication skills, both verbal and written, with the ability to interact professionally with customers and team members.
- Ability to multitask and prioritize tasks effectively in a fast-paced environment.
- Must be a team player with a strong work ethic and the ability to take initiative.
