About the Role :

The Cross-Functional Executive Support Lead will play a multifaceted role at Aurora, supporting executive leadership, managing remote office logistics and operations, managing and performing tasks related to, among others, human resources, event planning, finance and programs and development. This position requires a proactive, organized, and resourceful individual who can handle confidential information with discretion and interact with a broad range of organizations and individuals both geographically and demographically. This role will be based in Boston, MA and require 3 days in office.

You Will :

Provide Executive Support :

  • Manage calendars, travel arrangements, meetings, and logistics for senior management.
  • Collect, organize, and prepare data, reports, presentations, and correspondence.
  • Act as a liaison between executives and internal / external stakeholders, ensuring timely communication and follow-ups via tools like Trello.
  • Coordinate and support key projects and initiatives on behalf of executive leadership.

Facilitate HR / Cross-Functional Operations :

  • Support with onboarding, including preparing materials, coordinating schedules, and maintaining employee records in the HRIS.
  • Address basic employee HR inquiries and escalate issues as needed.
  • Manage event logistics, such as venue booking, catering, transportation, and attendee coordination.
  • Track event budgets and maintain vendor relationships.
  • Support Financial, Legal, and Accounting Activities :

  • Process vendor invoices, payments, and approvals.
  • Assist with humanitarian payments and manage contractual agreements.
  • Enter bills into Bill.com and support other financial processes.
  • Assist Development Efforts :

  • Manage donor pledge agreements and data within systems like Salesforce.
  • Update and extract donor-related information as needed.
  • Oversee Office Operations :

  • Manage daily needs of remote offices and coordinate co-op office facilities.
  • Serve as the primary contact for vendors, service providers, and other external parties.
  • Handle incoming communications and inquiries.
  • Contribute to Additional Initiatives :

  • Participate in other organizational projects and tasks as assigned.
  • You Have :

  • A Bachelors degree, or equivalent work experience
  • Proven experience in office management, executive assistance and / or human resources in an opportunity-rich, constantly evolving environment
  • Proficiency with Microsoft Office Suite, including Word, Excel, and PowerPoint;
  • Strong organizational and time-management skills with an ability to prioritize tasks and multitask efficiently;
  • Strong written and verbal communication skills;
  • Strong interpersonal skills, with a positive and approachable demeanor;
  • The ability to think ahead, anticipate needs, act proactively, and handle sensitive information with discretion;
