What are the responsibilities and job description for the Program Coordinator position at Austin Presbyterian Theological Seminary?
The Lifelong Learning Program Coordinator plays a key role in supporting the mission of Austin Seminary by ensuring the smooth operation of the department’s programs. The program coordinator is responsible for overseeing the successful planning and completion of educational and professional programs. In addition to general assistance to the Associate Dean, this role will manage various administrative tasks, manage logistics, maintain program records, and support communication efforts. The coordinator is expected to work collaboratively with all involved parties to ensure high-quality outcomes and a positive experience for participants.
Essential Function and Responsibilities
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.
· Plan and coordinate in-person and online events, ensuring a seamless experience for attendees.
· Oversee guest registration, including the coordination of meals, housing, and transportation for all attendees.
· Work with vendors, venues, and caterers to ensure all event details are handled professionally and promptly.
· Manage enrollment, payment processing, attendee communication, and attendance verification for the comprehensive Certificate in Ministry and for the Certificado en Ministerio en , utilizing spoken, written, and reading proficiency in Spanish.
· Manages Lifelong Learning website and online platform updates.
· Maintain and process payments for grant recipients, keep accurate records of grant applications, payments, and related documentation.
· Ensure compliance with funding guidelines and provide support to grantees as needed.
· Attend monthly cross-departmental committee meetings to help coordinate event planning, communication, and marketing efforts.
· Represent the department in various meetings, acting as a liaison between teams and ensuring alignment of goals and activities.
· Support the Associate Dean of Lifelong learning.
Preferred Qualifications
Education:
· A degree in theology, biblical studies or a related field is preferred. Experience in lieu of education may be considered.
Experience:
· Experience working in academia preferred but not required.
· 5 years of experience in office administration.
· 3 years of customer service experience.

· Preferred applicants will be bilingual in Spanish (reading, writing, and speaking).

· Ability to take direction when needed, self-initiate work when needed, and always work collaboratively as a part of the team
· Ability to use discretion and maintain confidentiality.
· Advanced knowledge of and ability to effectively utilize computers/software, including Microsoft 365 apps
· Ability to maintain confidential and privileged information in accordance with all applicable governmental and academic policies, especially as it relates to student data.
