About the Professions & Pathways branch
The Pathways & Professions branch works to build the digital capability of the APS. We provide Digital Profession members with access to digital guidance and advice, and learning and career development opportunities. We also provide targeted programs such as the Digital Emerging Talent Programs and the Women in Digital programs. Other focus areas include digital capability strategy and frameworks and support for agencies to build their digital workforce. The Digital Profession is home to a range of products, including the Digital Profession website and member platform, the APS Career Pathfinder and the Australian Government Style Manual.
The Digital Profession is one of three professional streams, and operates alongside the HR Profession (hosted by ATO), the Data Profession (hosted by ABS) and the broader APS Academy.
About the Role
The APSC is seeking a motivated and proactive individual to provide high level administrative and executive support to the Senior Executive Service (SES) officer and their respective team. The role of an Executive Assistant is an exciting, fast paced position that is critical to the smooth operation of the Group. The Executive Assistant is accountable under limited direction to perform and achieve moderate to complex administrative support work within an integrated workforce. Executive Assistants will be accountable for organising workflow and making decisions using initiative and judgement. Executive Assistants will recognise issues, develop solutions and anticipate and respond to the needs of the SES Officer and Group they are working with. You will be accountable to contribute towards ongoing self-improvement and professional development to excel in, and further develop your career.
As an APS 4 Executive Assistant you will undertake a wide variety of duties related to supporting our work, including:
- Perform ‘front of office’ support functions, including greeting and escorting visitors, answering phone calls, emails and general correspondence.
- Manage the diary and schedule meetings for the SES officer.
- Assist with providing finance support, including acquittal of credit cards.
- Arrange, coordinate and reconcile all aspects of domestic and international travel in line with the APSC’s travel policy for SES officers.
- Build and maintain productive, professional relationships in order to work collaboratively with internal and external stakeholders.
- Coordinate responses to Executive and parliamentary requests including managing work flows for the group through the Parliamentary Document Management System (PDMS).
- Create and maintain effective file management through an electronic records management system.
- Prepare briefing packs, reports and papers for committees.
- Identify issues, solve problems and take responsibility for gaining a clear understanding of the operating environment by listening, asking clarifying questions and applying common sense.

Under section 22(8) of the Public Service Act 1999, employees must be Australian citizens to be employed in the Australian Public Service (APS) or, in limited circumstances, in the process of obtaining citizenship.
Successful applicants will be required to undergo the process to obtain and maintain, or continue to hold the required security clearance level for the role as indicated. All Commission staff are required to have a minimum Baseline security clearance prior to commencement.
Successful applicants will be required to undergo a mandatory National Criminal History check as part of the pre-employment eligibility checks.
