Private Practice Intake Coordinator/Admin Assistant
Authentic Heart Family Counseling Inc. is an "hybrid" group practice with highly skilled and professional associate therapists providing quality services to children and families in the community. We are growing and in need of administrative support from a strong individual who is an active listener and is able to easily connect with others, while providing high quality customer support via phone and secure messaging platform.
Part time position starting at 15-20hrs per week.
Job Overview
The Intake Coordinator/Admin Assistant will be responsible for onboarding new client’s to ensure quality care is provided by coordinating care between new clients and assigned therapist.
Responsibilities and Duties
· Answers calls and responds to new client inquiry emails daily.
· Gathers insurance information and checks eligibility for new clients.
· Ensures client charts have necessary intake documentation on file prior to first appointment.
· Checks admin emails and responds accordingly.
· Community outreach and networking support
· Serves as support for Clinicians as it relates to admin tasks needed (i.e responds to client schedule/appointment related questions etc.)
· Other admin tasks related to supporting Director role
Qualifications
· High School Diploma or Equivalent (B.A. Degree in Human Service/Psychology/Social Work preferred)
· Excellent customer service skills
· Experience maintaining client files, records, and medical billing is a plus. Understands HIPPA and Confidentiality Rules/Requirements
· Experience with hiring and recruitment of employees
· Experience with Microsoft Office (i.e. WORD/EXCEL)
· Must be a team player, independent, responsible, reliable, detail oriented, and collaborative.
